Working in a fast-paced environment, the Program Manager will be responsible for the project management work associated with the successful and timely completion of afterschool programs. You will partner with Community Manager, Operations Analyst, Customer Success team to ensure safe delivery of afterschool enrichment services. You will lead local monitoring, coordination, and problem-solving of instructor-related activity with the assigned schools in your pod, deliver on providing the best afterschool enrichment programs for children.

The Program Manager is responsible for developing and executing strategy for our afterschool instructors in the Bay Area. The main purpose of this position is to demonstrate excellent coordination, facilitation, effective school relationships. In addition, execute leadership through influence, effective resource management, follow-up, and communications skills

To ultimately be successful in this role youll need to be a strong communicator, problem solver, hustler and extremely organized.

Responsibilities:

  • Coordinate, service and problem-solve the day to day activities with our instructor.
  • Communicate with internal Ops team on operational issues, handle escalations, and notify Community Managers of high need situations.
  • Partner closely with internal stakeholders (school staff, ops, community) to develop best practices, policy and operational policies to support instructors
  • Monitor live operations and execute assignment plans, make sudden, late-notice edits and ensure 100% reliability of instructors
  • Provide outstanding customer support and streamline operational processes to help build and support the overall Ops organization.

  • Project management experience and proven ability to deliver outstanding results through others in a timely manner using a strong sense of focus, organization, and meticulous attention to detail.
  • A team player of high integrity that is quick in decision-making and uses an analytical and data-driven mentality.
  • A problem solver, willing to learn quickly and do hands-on work, and able to troubleshoot operational problems quickly and efficiently.
  • Hustler mentality, willing to work irregular hours and be "on call" in support of 24/7 evolve the business in our cities.

Successful candidates for the role will ensure continuous client satisfaction with our programs, and a strong ability to identify new opportunities for expansion of both our Health Scholar programs and our consulting services. Regional Directors are also responsible for the supervision of several Program Managers, and by extension, their client sites. Regional Directors possess ultimate accountability for the success of their client sites, ensuring all client metrics are met and exceeded, and ensuring the overall success of our Health Scholar program at all sites, including an excellent Health Scholar program experience for all participants. Position Description: Client Relationships * Oversee and manage the COPE Health Scholars Programs at multiple client sites * Monitor and support the achievement of performance metrics for assigned clients. As the accountable manager, develop and support initiatives to improve and maintain program operations, recruitment, training, reporting and execution of dashboard initiatives for each client site under your supervision * Conduct quantitative and qualitative analyses on program metrics to effectively report service line impact to clients; build off of positive metrics to offer additional solutions to capitalize on client success * Build and manage relationships with key hospital client to ensure ongoing success/retention of current programs and secure future growth opportunities * Engage with Account Principal and other team members to identify and pursue opportunities to add value to client through current program scope expansion, value-based payment, population health management, PMO, Process Improvement or other services offered by our firm * Ensure the timely and accurate delivery of account reports per service line and site specific cadence Program Operations * Mitigate risk by responding to complaints or concerns from clients, hospital staff and/or program participants. Concerns may range from HIPAA, compliance, background checks, policy violations and more. Elevate high risk complaints or concerns to executive leadership, demonstrating sound judgement in all cases * Assist with the development of account/site budgets. Ensure financial reports are aligned with budget projections and identify variances with service line leadership and firm finance team * Add additional clients as needed/requested by executive leadership, leading site implementation as needed * Manage academic partnerships within assigned region(s), building relationships with college professors and other university staff. Attend conferences and workforce development meetings to support recruitment strategies for COPE Health Scholars Programs participants for your region(s) and sites, as appropriate * Attend events focused on relevant health care industry updates to identify challenges and business development opportunities within the service line and communicate opportunities for consulting engagements * Ensure compliance with all local, state and federal regulations, client site-specific policies and ethical standards Internal Responsibilities * Lead internal projects for the service line, including program operations, recruitment, training, vendor relations, information technology, business development and other projects as applicable and assigned * Oversee daily responsibilities for direct reports and serve as a key resource for program questions and concerns. Identify areas and assist in Program Manager ongoing training and professional development * Take ownership of retention and growth for Program Managers under your supervision; demonstrate strong leadership skills in guiding and growing team, and building strong relationships with team * Assist in the development of proposals, contracts, business development pitches and all deliverables related to the service line.
