The Workplace Operations Site Supervisor will oversee the day-to-day office operations including but not limited to facilities management, office supplies and equipment. This hands on role will assist in the organization and coordination of facilities operations, procedures and resources to facilitate organizational effectiveness and efficiency. This position also works closely with Workplace Planning & Strategy.


  • Assumes responsibility for effective and efficient workflow through the Boston office and all supporting services.

  • Oversee prompt completion of maintenance and service/repair of office and equipment.

  • Point of contact for facilities management and vendors. Maintains contracts, payments, receipts, and related leasing documents.

  • Maintains SpaceIQ seating and space planning software for the Boston office.

  • Oversee catering management and event planning for corporate events and functions.

  • Assisting in various project-related tasks including, moves, build-outs, and budget preparation

  • Organize and coordinate office operations and establish procedures as needed (or Designs and implements office policies by establishing standards and procedures)

  • Responsible for assessing the company's compliance with Health, Safety and Emergency Preparedness; promote the wellbeing of employees in the workplace; avoid exposure to risks & cost; support the company's safety principles and goals

  • Oversee all adds, moves and changes related to new hires, office furniture needs and tel/data coordination.

  • Ensures work is being completed properly, in a timely manner, and in accordance with Company standards.

  • Assists as needed to Track open and available seats, ensuring areas are ready for new hires

  • Must handle stress well and be quick thinking; Strong decision making skills


  • Prior experience in managing HVAC, plumbing and other facility systems required

  • Effectively manage to work efciently in a fastpaced environment, troubleshoot and follow projects through to completion, with strict deadlines and without loss of attention to detail, budget and reporting

  • Excellent written, verbal, organizational, analytical and interpersonal skills

  • Procient in Google Suite and experience with internet research and database management

  • Exercise good listening and communication skills with sensitivity to cultural communication differences;


  • Pleasant, diplomatic manner and disposition in interacting with colleagues and the general public

  • A great multitasker

  • Thrive in a fast-paced environment with constantly changing priorities and high customer demand

  • Service oriented

  • Hands-on and can help lead people to be more effective

  • Subject Matter Expert in facility related matters

  • Strong communicator

  • Great at managing people, both internal as well as vendor and external partners

  • Detail oriented

  • High performer with excellent record keeping and organizational skills.


  • 5 - 8 years relevant experience and/or training; or equivalent combination of education and experience.

  • Experience in office management and supervising vendors and people

Primary Responsibilities: * Coordinate and run all office services for our SF campus, including: Lease compliance, food and beverage, office equipment, moves, space planning, supplies, janitorial, assets tracking, repairs and maintenance * Ensure an outstanding workplace experience for 1,000+ local employees (and growing!) * Management and development of local Workplace Operations team * Act as primary contact with landlord and site management; Ensure lease compliance * Reliable first point of contact for building emergencies such as plumbing, air conditioning, building health, etc. * Manage tickets (work requests), ensuring timely responses and a very high level of customer service * Own process & procedure creation and review, ensuring scalability through growth * Partner with global peers and other departments within the company to ensure consistency of brand and culture among offices * Handle office budgets and invoice review * Act as a consultant, facilitator and collaborator on office build outs and upgrades, working with the Director of Real Estate, AMER Workplace Experience Manager, vendors, contractors, architects, designers and project managers Requirements: * 5+ years office management experience with an emphasis on facilities and property management * 3+ years experience leading and growing a team * Strong commitment to achieving an extraordinarily high level of customer service * Proven project management and strategic planning experience and skills * Exemplary communication skills, with the ability to build relationships and communicate effectively with employees at all levels of the organization * Calm under pressure, managing multiple competing priorities and constantly re-prioritizing in a fast-paced, ever-changing environment * Accountable, resourceful and proactive * Positive, empathetic team player and leader * Confident creating and delivering presentations to employees at all levels of the organization, including all-company meetings * Quickly able to learn new technology, programs and skills * Capable of standing for 4+ hours a day and lifting items up to 20 pounds Zendesk builds software for better customer relationships.
