Benefits Administration in the Shared Services Center at West Virginia University invites applications for the position of Workforce Administration Associate. This position will provide paraprofessional support to the employee benefits workforce administration team and will focus primarily on responding to benefits questions and inquiries from employee's, using Salesforce case management system. This position will also key benefit information into the PEIA Benefits Administration System (BAS). This position is accountable for timely and effective responses to employees and to escalate issues as appropriate.

In order to be successful in this position, the ideal candidate will:

  • Answers Tier-1 benefits questions. Assists employees, retirees, and surviving dependents on all aspects of health, basic life, optional life, AIG insurance, disability coverage and all insurances through PEIA and Mountaineer Flexible Benefits (FBMC). This position uses Salesforce case management system to respond to employee basic employee benefits questions and issues.

  • Inputs and codes change-in-status forms into the PEIA BAS system.

  • Participants in the annual open benefits enrollment and other benefit enrollment, and benefits events as needed.

  • Completes Qualtrics form to arrange for employee benefit deductions to be keyed by Employee Data Management.

  • Processes name and address changes in PEIA, FMBC and other benefit vendors. Keys changes directly into PEIA BAS.

  • Ensures enrollment with flexible spending account vendor.

  • Maintain electronic enrollment files.

  • Process Child Support and HIPP Verifications.

  • Reporting and notification for decreasing life coverage for employees over age 65.

  • Uses appropriate judgement to escalate complex employee benefits issues to the Workforce Administration Specialist.

  • Uses appropriate judgement to escalate complex issues and works collaboratively with other members of the shared services center team.

  • Participates in process improvement initiatives.

  • Associates degree in Business, Human Resources, Industrial Relations. Public Administration, or a related field OR an equivalent combination of education and directly related experience.

  • At least 2 years Work experience in a human resources department. Prior work in Employee Benefits is preferred.

  • Attention to detail and accuracy with keying information.

  • Ability to research issues and prepare options for resolution.

  • Ability to learn PEIA BAS system.

  • Demonstrated experience navigating multiple computer screens, including entry of required information.

  • Ability to manage multiple tasks.

  • Communicate effectively, both orally and in writing.

  • Effective interpersonal skills and demonstrated success with ability to build and maintain effective work relationships.

  • High degree of integrity and reliability.

  • Demonstrated ability to use Microsoft office products, such as Excel, Word, Access.

  • Demonstrated experience in providing exceptional level of customer service, to all levels of the organization.

This position works in the Employee Data Management area of Workforce Administration and is responsible for ensuring that positions are properly set up in the Mountaineer Administrative Processes (MAP) system, including accurate position data, for faculty, non-faculty and student positions. Responsible for maintaining the supervisor and HR organizational hierarchies and the Job Description Repository. This position has an in-depth understanding of MAP and services as a high level technical and administrative support for positions and hierarchies, but may also assist as needed with other changes to employee data in MAP. Accountable for timely and effective processing in accordance with established Service Level Agreements (SLAs). In order to be successful in this position, the ideal candidate will: * Create and input into MAP position data (classified, non-classified, faculty, courtesy, and FEAP). Ensures position data is correct and aligned with the position classification, FTE, standard conditions, and organizational hierarchy. Queries MAP to identify vacant position numbers. * Modify and/or correct existing position data in the production database, which includes position title and grade, FTE, and organizational changes as directed by Talent and Culture Compensation Center of Excellence, or College/Unit Business Strategic Advisors, or HR Partners. * Maintain all information contained in the MAP position flex fields (EEO codes, SOC codes, exemption status, position attributes, etc.,). * Work collaboratively with others in the workforce administration team, COE Compensation team, HR Partners and College/Unit Business Strategic Advisors, to resolve discrepancies and other issues. Demonstrates service excellence and positive interpersonal relations when working with all other internal and external customers. * Create and update supervisor changes that link to the time and leave systems. * Process requisitions for WVU Hire. Includes updating of existing posit io ns and creating new positions for employment recruitment. * Complete promotion and tenure processing in MAP. * Communicate final compensation review results to business units upon notification from COE Compensation team. * Maintain WVU Parkersburg position/supervisor/organization changes. * Runsstandard reports in MAP needed to review and audit work performed, such as hierarchy reports. * Has System Administrator (Sys Admin) responsibility in the MAP production database. Can add new position titles, job types, EEO codes and other value sets as needed. * Maintain and update MAP tables with new/deleted job titles, job codes, and other changes) * Update salary range tables with new/revised salary ranges. * Test existing and updated system applications for Oracle HRMS modules, including system patches and creative work-arounds. * Research case specific and systemic issues and works collaboratively with others in IT to increase functionality and efficiency of the Oracle HR database. * Assist direct report supervisor with projects designed for process improvement & enhanced customer. * Use appropriate judgement to escalate complex position and hierarchy issues and works collaboratively with Talent and Culture Compensation Center of Excellence and others to resolve issues. * May assist with other work related to MAP as needed. Pay Grade: 16 * Bachelor's degree in Business, Human Resources,or a related field or equivalent combination of applicable work experience. (e.g. Associates degree and four years of work experience in practical application of Oracle or similar personnel/payroll data management system. * A minimum of two (2) years of administrative experience, preferably in employee benefits or human resources.
