MISSION:

JOB PURPOSE:

Under general supervision of the Employee Relations and Benefits Director, provides administrative assistance to the benefits and worker's compensation areas.

JOB RESPONSIBILITIES:

Assists Worker's Compensation area with routine job duties.

Communicates with managers and division heads on active light duty, out of work employees i.e. workers compensation, suspensions, suspension pending investigation, family medical leave (FMLA), and extended disability leave.

Participates in Workers' Compensation committee meetings and serve as the back up to the Worker's Compensation Coordinator.

Updates worker's compensation logs in the absence of the Workers Compensation Coordinator and gather all information for worker's compensation subpoenas.

Assists worker's compensation coordinator with filing documents.

Monitors workers compensation and benefits group email in the absence of the Workers Compensation Coordinator and Benefits Manager and/or Coordinator.

Checks Concentra Portal for new injury claims and updated restrictions and updates worker's compensation coordinator.

Assists with human resources data and compiles reports.

Assists Benefits area with routine job duties.

Provides assistance at orientation and open enrollment by assembling and updating packets and assisting these employees with completion of incoming and exiting forms.

Reviews monthly PEBA benefits and retirement reports to ensure accuracy.

Assists with all name and address changes in SCEIS, in addition to sending copies to PEBA Insurance and Retirement with the proper paperwork.

Assists Benefits Manager with filing documents.

Assists the Employee Relations and Benefits Director, Worker's Compensation Coordinator, and Benefits Manager with the agency's ADA reassignment and accommodations process.

Reviews Bureau of Labor Statistics (BLS) information.

Maintains compliance with federal and state regulations concerning benefits, insurance, leave, FMLA, ADA, Workers Compensation, and OSHA laws.

Assists the Employee Relations and Benefits Director with special projects and tasks as assigned.

Performs other job-duties and tasks as assigned by a supervisor to further support the agency's mission and values.

Minimum and Additional Requirements

STATE MINIMUM REQUIREMENTS:

A high school diploma and administrative experience. A bachelor's degree may be substituted for the required work experience.

ADDITIONAL REQUIREMENTS:

Demonstrate a working knowledge of laws, regulations, policies and procedures relevant to the area of employment, benefits and workers compensation.

Ability to exercise judgment and discretion.

Ability to establish and maintain effective working relationships.

Ability to interpret and apply laws, regulations, policies and procedures.

Ability to communicate effectively.

Must have knowledge of agency's organizational structure, mission and programs.

Strong skills in Microsoft Office Suite and the ability to learn and successfully utilize (SCEIS/SAP).

Ability to present a professional and positive attitude toward the public and agency employees.

Ability to maintain confidentiality.

This position operates under the general supervision of the Employee Relations and Benefits Director. The supervisor receives feedback from Benefits Manager and Workers Compensation Coordinator on a weekly basis and performs annual performance evaluations. Works independently on a limited basis.

This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice, and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.
