Job Description

The Workers' Compensation Referral Coordinator is responsible for ensuring patients with a Workers' Compensation referral to or from Summit Health are scheduled for an appointment in a timely manner. The Workers' Compensation Referral Coordinator is responsible for scheduling appointments for all Workers' Compensation referrals sent from CityMD, Summit Urgent Care, and Summit Health Practices. The Workers' Compensation Referral Coordinator is also charged with scheduling appointments for any Workers' Compensation referrals received from internal or outside sources.

Duties and Responsibilities

The primary duties and responsibilities of the Workers' Compensation Referral Coordinator are:

  • Schedule appointments for CityMD Workers' Compensation patients within the appropriate timeframe as indicated by referring provider.

  • Communicate with patients in a professional and courteous fashion when needed to discuss Workers' Compensation information needed, patient preferences, appointment coordination, etc.

  • Conduct calls to employers, adjusters and nurse case managers regarding a patient's referral ordered, Workers' Compensation information needed, appointment scheduling, etc.

  • Assist and manage inbound calls and emails from employers, adjusters, nurse case managers and patients regarding Workers' Compensation referrals (status, appointments, etc.)

  • Work with Summit Health's provider partner offices and scheduling systems, to complete registration for referred patients.

  • Access database via CRM Salesforce to reference client (employer) referral coordination needs and special instructions.

  • Utilize referral management technology to determine the most appropriate provider for scheduling a referral.

  • Using CRM Salesforce and referral management system, track progress of all referral cases (outreaches, referral status, appointment scheduling progress, etc.)

  • Work with Summit Health multispecialty practices and its provider partner offices' scheduling systems to complete appointment scheduling for referred patients.

  • Daily extensive computer use navigating multiple applications while engaging in conversations with patients or clinical office staff.

  • Follow all HIPAA and any other governmental or state agency requirements regarding the appropriate handling of PHI documents to patients, employers, payers and providers.

  • Must adhere to the call center schedule while being accountable to follow specific call quality guidelines and measurements.

  • Demonstrate exemplary customer service skills.

  • Work closely with other departments including but not limited to Workers' Compensation Case Management, Urgent Care Referral Management, Aftercare, Medical Records, Compliance, and Billing with the goal of ensuring that Summit Health-CityMD is providing high quality and appropriate care to all work-related injury patients and ensuring seamless operation processes for customer experience.

  • Collaborate with Sales, Occupational Medicine Support Team and Operations Teams to resolve issues and ensure the highest level of customer satisfaction.

Qualifications

A candidate's qualifications will include:

  • Bachelor's Degree in Public Health, Business, Hospitality Management or other applicable degree preferred

  • Experience with Patient Scheduling preferred

  • Experience working in a Call Center preferred

  • Computer: Microsoft Office, Outpatient scheduling system (i.e., Athena, eCW, Epic)

  • High attention to detail

  • Exceptional interpersonal and communication skills

  • Positive attitude and ability to project this around others

  • Ability to work in a fast-paced, ever-changing environment

  • Workers well independently and in a team environment

  • Bilingual in Spanish a plus

  • Must exhibit passion for outstanding results and compassion for those we work with and serve

For Colorado Residents only: This is a non-exempt position. The base compensation range for this role is $20-24/hr. At VillageMD, compensation is based on several factors including but not limited to education, work experience, certifications, location, etc. The selected candidate will be eligible for a valuable company benefits plan, including health insurance, dental insurance, life insurance, and access to a 401k plan.
