What You'll Get to Do:
Responsible for routine file maintenance, including maintaining backup copies of original files, as well as working files.
Types, edits, corrects, etc., documents, charts, tables, etc., as required.
Answers telephone calls.
Controls access, ensuring visitors are properly cleared, badged, and authorized entry to the office space.
Notifies staff members of visitors or incoming calls.
Receives and escorts visitors.
Takes messages as necessary.
Responds to inquiries, providing general information regarding office programs.
Advises callers or visitors of appropriate Federal, State or local agencies to contact concerning matters - outside the USAO's purview and furnishes the needed address or telephone number when available.
Receives, reviews, and distributes incoming faxes, mail and packages.
Ensures mail received from other agencies is appropriately screened and distributed.
Ensures daily incoming mail is delivered and is processed accordingly.
Ensures daily outgoing mail is available for pickup by mail carrier at the end of the day.
Organizes in-house meetings, sends invitations.
Supports meeting set up/break down.
Performs quality control over own work.
Performs simple maintenance on office machines such as copiers and fax machines.
Performs administrative tasks and small projects such as updating directories, data entry, filing, and document development/preparation.
Provides additional litigation clerical support to the USAO Legal Assistants as necessary.
You'll Bring These Qualifications:
At least one year of word processing experience including familiarity with specific office automation environment (e.g., JCON2a, MS Word Office 12/Microsoft Office 2003).
Must be able to type at a minimum rate of 65 wpm with an accuracy rate of 95%.
Excellent oral and written skills required.
High School diploma or GED required.
Pleasant telephone manner and pleasant manner in greeting visitors extremely important.
Ability to produce highest quality work under pressure very important.
Personnel with qualifications identified below are highly preferred: The qualifications are listed in descending order of importance.
Knowledge of and skill in the application of interpersonal communication skills.
The Contractor shall be proficient in Microsoft Office software programs (i.e. Word, Excel, Outlook).
Ability to use, understand and maintain directories, personnel lists and other guides and reference to provide a variety of information on the office and to refer question to other offices.
Skill in meeting and dealing with people in a courteous and tactful manner.
Must possess a cooperative, "customer service" mentality and the ability to handle multiple projects at the same time with an upbeat attitude.
Must be able to function independently as well as work collaboratively as part of a team.
High School diploma or GED required.
The resume must demonstrate the required computer skills.
