Reports to: Retail Manager

Duties & Responsibilities:

  • Respond promptly to customer inquiries via phone and email, with professionalism and courtesy.

  • Process wholesale internal and external orders accurately and efficiently to meet customer expectations.

  • Manage gift box sales, including inventory tracking and order fulfillment, with precision.

  • Assist customers in selecting the right products or gifts for their needs with utmost care and thorough product knowledge.

  • Collaborate with the sales team to address any customer concerns or issues promptly and effectively.

  • Assist sales department by providing product information by phone, email, and mail and processing orders in a timely manner.

  • Answering office phone taking orders and providing exceptional service through phone, fax, email and online communication.

  • Handle customer complaints, concerns, and service.

  • Accurately process customer transactions.

  • Provide accurate information regarding shipping costs and product availability.

  • Contact customers following orders to ensure ongoing customer satisfaction and resolve any complaints.

  • Maintain database and produce reports as needed daily and monthly.

  • Maintain accurate purchase orders, review PO for accuracy upon fulfillment, and review that billing is accurate within wholesale operations.

  • Manage time effectively, meet personal goals and work effectively with ALL members of the FOF team.

  • Assist with annual Gift Box program and daily online orders including, offerings, pricing, materials, staffing and fulfillment.

  • Review monthly inventory of product, ensure proper pricing and turn to accounting in a reasonable timeframe

  • Assist in maintaining appropriate levels of product

  • Demonstrate proficiency in use of PC, POS terminal and other common office equipment and software

  • Follow company policies and procedures

  • Present a professional image always to customers and co-workers

  • Perform other duties as assigned.

Job Requirements/Skills:

  • Self-discipline, initiative, objectivity, dependability, ability to deal with change while maintain emotional control

  • Display a high level of problem solving skills

  • Must possess good communication skills

  • Keep manager informed of all issues (i.e. problems, unusual matters of significance and positive events) and takes prompt corrective action where necessary

  • At all times provides a favorable image of Fair Oaks Farms to promote its philosophy, products and services

  • Hours may vary, including weekends.

  • Proficient in the following dimensions of management: Communication, company policies and procedures, recordkeeping.

  • Team player who works productively with wide range of people

  • Able to work independently with some direction

  • Capable of following written instructions and documented procedures

  • Organizational skills

  • Strong knowledge of Microsoft Office Suite

  • Able to multi-task

  • Able to perform business math

Experience and Education:

  • High School diploma required, continuing education in customer service and basic accounting desirable

  • Minimum of 3+ years in customer service
