Sample Management

  • Maintain and publish to the sales team, current sample request forms

  • Support the outside sales team in supplying, packaging and shipping samples of prototypes and current gifts to wholesale customers

  • Coordinate with kitchen for newly developed edible samples

  • Work closely with Merchant for new item and assortment launches to insure we have sales samples available according to the Wholesale calendar timeline -- both in mocks for structures and edibles. Packages up sales sample requests and review with management for submission to Merchant

  • Obtain, maintain and track sample inventory to insure availability as needed for sales requests

  • Work closely with order entry if production samples can be sent and provide information necessary to complete orders

  • Vet requests from other Departments for samples -- using the expiring product report to fill needs. For all other requests outside of this list, obtain permission from Inventory Planning and Management prior to requests going in.

Assortment/New Items

  • Coordinates with Merchants and Product Development for new structures, gifts and new SKU's

  • Assign new UPC's as needed

  • Take photos of all custom and new gifts, ensuring there is a record of items sent out

  • Complete and submit Mock Requests forms on behalf of Wholesale Merchant or at the request of that individual

  • Responsible of completed mock from PD Team to Sample room

Photos

  • Coordinates all photography with the Studio. Outline needs, track progress, obtain final high-resolution photography, save to appropriate folders on shared drive. Rename all images to proper naming conventions

  • Reviews Company FTP site to make sure with each new item/season the most current images are uploaded for customers

UPC/Nutritional Labeling

  • Maintains UPC tracking spreadsheets; validate UPC's

  • Validate Carton Labeling UPC

  • Maintains repository for nutritional labels for all current items for Wholesale

QA Inquiries/Support

  • Coordinate the customer requests for Propositions, Food Handling, Certifications, and other queries

Club and Custom Product Development

  • Work closely with merchants to stay ahead of all needs and meet timelines related to mocks, edible samples, shipping, etc.

Broker Kits

  • As identified by Management, prepare and ship all broker kits

Trade Shows

  • Works closely with Merchants and Management on needs for all trade shows throughout the year. Coordinates all packaging, displays, selling materials, edible products, sampling and logistics for fulfilling the needs and timing

  • This role is accountable for the management of the assigned trade show sample budget. Provides management and finance with monthly budget updates and recommends adjustments when/where necessary

Share Drive Folders

  • Creates and maintains all folders for UPCs, nutritional and images according to year/season

  • High school diploma or equivalent required

  • 1-3+ years project coordination experience or production planning experience required

  • Working knowledge of MS Office Suite, including Word, Excel and Outlook.

  • SAP knowledge preferred.

  • Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods.

  • Must possess exceptional organizational skills, with the ability to follow-up, perform multiple tasks in a fast paced environment, respond to changing priorities, and consistently meet deadlines with accurate and detailed results.
