Hours: Monday-Friday between the hours of 8:00 a.m. 5:00 p.m. (20-25 hours/week)

What does a Wealth Management Assistant Do?

In this position, you'll collaborate closely with the Financial Advisors. You'll do this by providing administrative and clerical support to the team. You'll provide operational efficiency and customer service excellence - always being our trusted partner to help facilitate client growth.


Wealth Management Assistant Responsibilities:
  • Call clients and schedule appointment at the direction of the financial advisors.

  • Generate reports, such as position statements, for advisor's meetings with clients.

  • Develop processes for tracking all business and handling paperwork.

  • File client statements, correspondence, and agreements completely.

  • Use excellent customer service skills to build client relationships.

  • Place trades through Commonwealth at advisor's direction, if licensed.

  • Regularly review Commonwealth news items, technology updates, and e-mail communications.

  • Assist with data entry of all client financial information.

  • Maintain up-to-date organized client files.

  • Prepare and send outgoing mail/letters as directed by advisors.

  • Assist advisors with marketing efforts.

Wealth Management Assistant Qualifications:
  • Associate degree preferred, or equivalent work experience.

  • 1-3 years' experience in banking or financial services company.

  • Enthusiastic, positive, effective under pressure, flexible, self-starter and has the drive to learn in a fast-pasted environment.

  • Ability to maintain attention to detail.

  • Strong organizational skills.

  • Ability to use multiple technology platforms.

  • Exceptional customer service experience.

  • Ability to work independently to complete projects meeting quality and timeliness expectations.

What does an Executive Assistant Do? In this position, you'll collaborate closely with the Board of Directors and senior executives. You'll do this by providing administrative and clerical support to the team. You'll be our communication liaison to the Board of Directors - always being our trusted partner. Executive Assistant Responsibilities: * Provide clerical and administrative support to the executives and other officers, composing and preparing confidential correspondence, reports, and other complex documents. * Manage senior executive calendars, making appointments, and prioritizing sensitive matters. * Record, compose, and maintain the official minutes of all meetings of the Board of Directors and Committees. * Prepare all meeting materials/packages to include agendas and supporting reports. * Coordinate electronic filing of all official records and pertinent documents for permanent files. * Serve as the focal point for the Board on matters pertaining to the annual Board of Director's election process, vote tabulation, and committee appointments. * Arrange programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. * Make travel arrangements as needed, which may include travel plans and itineraries. * Respond to incoming calls and correspondence. * Post files to data system for use by Directors on iPads and assist with trouble shooting as needed. * Provide backup support for accounts payable and payroll functions when needed. Executive Assistant Qualifications: * High school diploma/GED plus additional coursework or college classes. * Five years related experience and/or training preferred. * Knowledge of the form and legal requirements of the content and structure of meeting minutes. * Experience in accounting or bookkeeping functions or payroll a plus. * Ability to type 60 wpm. Comprehensive knowledge of Microsoft Office Suite of applications. Ability to operate iPad, laptop, and other business machines as needed. * Excellent written and verbal communications skills relative to business correspondence and office management. * Excellent organization skills, attention to detail, ability to plan ahead and demonstrated follow-thru and follow up. * Self-starter able to work without direct daily supervision. * Desire for a high level of customer service to our customers.
