Position Title: Wealth Management Assistant

Department: Wealth Management

Position Reports to: Director of Wealth Operations

Position Supervises: No Direct Reports

Position Summary:

Support the company's mission statement by performing the duty of maintaining a high-level of customer service through assisting in developing new customer relationships and retaining and expanding existing business. The Wealth Management Assistant is responsible for supporting the Wealth Management Department in an administrative capacity. Demonstrate and implement our Trusted Advisor strategy to all internal and external customers.

Duties and Responsibilities:

  • Answer incoming calls in a friendly and courteous manner; provides assistance and information as required and connects caller with desired party; takes and delivers messages or transfers calls to voice mail when appropriate.

  • Utilize CRM system to establish appropriate work flows, calling plans, onboarding schedules, schedule client review meetings, and document client communication.

  • Schedule appointments or events for designated sales individuals.

  • Prepares new account documentation for client appointments for designated sales individuals.

  • Complete various clerical duties, including scanning and copying documents, sending faxes, and preparing presentation materials including binding, formatting, and printing.

  • Prepare outgoing correspondence to clients including distribution requests and client account paperwork.

  • Coordinate and organize department meetings.

  • Complete various clerical duties, including scanning and copying documents, sending faxes, binding presentations and processing daily incoming and outgoing mail by sorting and delivering.

  • Maintain and publish monthly department reports as assigned

  • Utilize CRM system to generate and prepare monthly client birthday cards and annual holiday cards for the department.

  • Maintain and order office supplies for department.

  • Serve as marketing liaison between department and Marketing Department; maintain current marketing materials.

  • Assists designated service and sales team with a variety of projects as needed.

  • Complete other duties as assigned.

Education, Certification, License and Experience:

  • High school graduate or equivalent

  • Associates degree or equivalent work experience required. Bachelor's degree preferred.

  • Proven experience in office setting with professional appearance

Skills and Knowledge:

  • Excellent computer, interpersonal and customer service skills

  • Ability to effectively collaborate with others

  • Pays high attention to detail

  • Ability to prioritize

  • Ability to work independently

  • Outstanding written and verbal communication skills

  • Thorough knowledge and understanding of administrative and clerical procedures

Work Environment:

This job operates in a professional office environment. Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.

Physical Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak or hear, stand or sit for long periods of time, open filing cabinets, walk, stoop or bend, use hands to handle or feel and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and complete tasks requiring manual dexterity. Ability to drive a vehicle for travel is required for the position.

Responsible for general clinical and clerical duties associated with direct and indirect patient care. Reports to the Office Manager, supervisor, physician, and/or R.N. Provides care to pediatric, adult and geriatric patients. Essential Functions: Directs patients to patient care areas and obtains chief complaint and/or reason for visit, vital signs, heights and weight. Maintains patient flow in clinical areas. Performs diagnostic testing (EKG, PFT, minor lab) as ordered. May perform venipuncture. Maintains appropriate records including documentation, review of chart for current information, patient notes, dictation, etc. Assists physician with procedures, treatments, minor surgeries and exams as needed. Provides some basic procedures under the direction of the physician, mid-level provider, or RN. Performs some basic triage functions with referral to appropriate medical professional. May be required to float based on staffing needs. Perform functions of patient services coordinator such as obtaining and verifying patient demographic information, enter data into the computer, obtaining co-pays and entering billing charges into the computer. Maintains inventory and stocks exam rooms. Maintains patient care equipment in good working order to ensure quality control procedures and in accordance with regulatory guidelines. Assists in ensuring compliance with the state, federal and other regulatory agencies. Administers medications and documents. Reviews daily schedule to prepare charts for daily appointments. Follows up on missed appointments. Required Minimum Education: Vocational/Technical Degree Specialty/Major: Medical Assisting Preferred Education: 2 year Associates Degree Specialty/Major: Medical Assisting Licensure/Certifications Required: Must be a graduate of an approved Medical Assistant program. Current certification or licensure required. If not currently certified/registered must obtain within 90 days of employment. Must possess current CPR certification with the American Heart Association.
