WDVA is excited to announce we are hiring a full-time Administrative Assistant 3 in support of the Veteran Services, Counseling and Wellness Program at our Central Office in Olympia, Washington! This is a project position with an expected end date of September 31st, 2025.

The mission of the Veteran Services, Counseling and Wellness Program is to transform the lives of Veterans and their Families through growth and resilience-related experiences. This position works directly under the supervision of the Staff Sergeant (SSG) Fox Suicide Prevention Grant Program (SPGP) Manager, who oversees efforts to prevent Veteran and family suicide through upstream suicide prevention services, peer support, and case management.

The Administrative Assistant 3 routinely interacts with external partners, key stakeholders, program applicants, and program participants to support the administrative functions of the SSG Fox SPGP.

Please note: The expected hours for this position are 8:00 a.m. to 5:00 p.m., Monday through Friday in-office. Some evening and weekend work may be required to meet program needs. Time may be spent in other remote office locations at military installations, government agencies, or other private partners and occasional travel is required. An alternative work schedule and hybrid telework may be authorized based on mission requirements.

  • This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step, in alignment with state HR compensation rules.

As a national leader in our advocacy for more than 500,000 Veterans and their family members, we strive to connect them to earned benefits as well as innovative programs focused on their overall health and wellness.  In addition, we provide critical community services through a variety of programs, and at our four State Veterans Homes located in Orting, Port Orchard, Spokane, and Walla Walla.  These locations provide Medicare and Medicaid nursing home care to Veterans, including, in some instances, their spouses, widows, or Gold Star Families.

Some of what you'll be doing:

  • Coordinating office operations by maintaining the supervisor's calendar, making travel arrangements, and transcribing minutes.

  • Creating agenda and meeting materials under the supervision of the SSG Fox SPGP Program Manager.

  • Evaluating and monitoring program equipment, supplies, and furniture needs.

  • Performing SSG Fox Grant Eligibility Review.

  • Receiving and performing initial review of applications for completeness.

  • Routing completed applications to the SSG Fox SPGP Program Manager.

  • Initiating first contact with applicant via phone and gathering initial information to relay to the Program Manager.

  • Disseminating communication form to SSG Fox participants to assess overall satisfaction with the program.

  • Updating participant disposition within the Enterprise Veterans Case Management System.

  • Pulling program progress and outcome data for internal and external reports.

Required:

  • High school diploma or GED.

  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

Please Note: Formal relevant education may be substituted year-for-year for experience.

Preferred/Desired:

  • Bachelor's degree in business administration, public administration, or closely allied field from an institution whose accreditation is recognized by the U.S. Department of Education or the Council for Higher Education Accreditation or a foreign equivalent.

  • Two (2) years of responsible office experience at the senior clerical level or higher.

  • Knowledge of statewide governmental policies and operations and ability to abide by those policies and laws of the State of Washington.

  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.

  • Prior service in the Armed Forces, Guard, or Reserves with combat experience.

  • Experience working directly with Veterans and their Families or demonstrated competency with this population.

Special Requirements:

  • Must be able pass a DSHS BCCU Background Check prior to beginning services and every two (2) years in accordance with WDVA Policy 615.000 Background Checks. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.

  • Must maintain regular and reliable attendance. In an emergency situation, employees may be asked to stay for an extended period of time and perform duties appropriate to the situation.

  • Must successfully complete all requirements indicated in position description within mandated timeframes.

  • Must have a valid driver's license.
