Job Summary

Responsible for recognizing, locating, ordering, tracking, purchasing, and delivering fleet parts and city-wide equipment, parts, tolls and supplies. Manages shipping and receiving, stocking, inventory control, and issuing of fleet automotive and construction equipment parts and materials. Inventories and tracks fuel and petroleum products and keep records required by TCEQ regulations on underground and above ground storage tanks.

Essential Functions

1.Responsible for communicating and coordinating fleet parts and material acquisitions for all city departments and divisions.

2.Researches, locates, acquires and delivers parts or material orders for departments and divisions.

3.Documents transactions using work orders, spreadsheets, and fleet management programs; provides accurate inventory reports, accurate bookkeeping of acquisitions and initiate warranties and warranty tracking of parts.

4.Maintains accurate Faster Management Software data base and fleet related issues, such as parts and material inventory including petroleum products.

5.Assigns and tracks fleet related issues and items to work orders with accuracy.

6.Responsible for maintaining the status and reordering of inventory parts, supplies and materials for all city departments and divisions.

7.Provides accurate bookkeeping methods involving fleet purchases, payables and receivables accounts and actions.

8.Responsible for monthly, semi-annual and annual inventory reports with plus or minus 3% accuracy.

9.Provides reports on parts, materials, petroleum products, and activity of these items when asked.



  1. Maintains and tracks fleet related warranties.

  2. Follows purchasing procedures in accordance to the City of Grapevine Administrative Policy, Human Resources Manual and Purchasing Manual.

  3. Provides accurate documentation of all transactions related to city parts, supplies and materials.

  4. Receives permission and follows current procedures before opening new vendor accounts.

  5. Responsible for tracking petroleum products, waste and hazardous materials.

  6. Receives general supervision and instructions from manager and supervisors within the division.

  7. Responsible for Fleet warehousing of parts and materials.

  8. Provides proper storage of inventory.

  9. Ships and receives fleet parts and materials.

  10. Ensures proper location marking and tracking of parts, supplies and materials as well as security of said items.

  11. Provides good housekeeping of inventory and warehouse.

  12. Provides proper security of city parts, material and assets in warehousing.

  13. Provides parts and material ordering and retrieving of parts and material.

  14. Records and tracks consignment parts and materials.

  15. Oversees the receipt, listing, storing, and transportation of all items received from departments for city auctions as described by city policies and procedures.

  16. Performs related duties as directed when such duties are a logical and appropriate assignment to the position.

  17. Regular and timely attendance are required for this position.

  18. Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.

SKILLS, KNOWLEDGE AND ABILITIES

  • Must be able to follow the requirements of TECQ regulations on underground and above ground storage of petroleum products.

  • Must maintain proper inspection and documentation of storage tanks.

  • Must be able to keep accurate petroleum products inventory.

  • Must be able to keep accurate records and documents required for storage and waste of fleet items.

  • Must have knowledge of proper storage of waste and hazardous waste materials.

  • Must have knowledge of proper disposal and records of waste and hazardous waste materials.

  • Preferred knowledge in supervising general and fleet parts warehouse operations.

  • Accountable for the accuracy of inventory.

  • Accountable for parts and material documentation.

  • Accountable for accurate reports on parts, materials, and petroleum products.

  • Accountable for accurate parts purchase, issuance and tracking.

  • Accountable for quality of parts and its origin.

  • Accountable for accurate Faster Management Software data input.

  • Accountable for accurate work order documentation.

  • Accountable for following City policies and procedures.

  • Must have the ability to comprehend parts descriptions and functions, understand part manuals by visual references and descriptions.

  • Must have the ability to understand cross referencing.

  • Must have the ability to operate forklifts and miscellaneous warehouse equipment.

  • Requires the ability to perform basic math and have the necessary skills in office excel, word processing and typical fleet management software.

  • Must have the ability to follow both written and verbal instructions.

  • Must have the ability to complete tasks as assigned.

  • Ability to work in a team environment, contribute as a team member and treat co-workers and customers with respect.

  • Ability to work any day of the week (weekends and weekdays) and long hours.

  • Requires knowledge of methods and practices used in warehousing, inventory control and computerized warehouse systems. Ability to make independent judgements and to evaluate acceptability of supplies.

  • Prepares special management reports or completes other projects as required.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS

Requires a high school diploma or equivalent plus a minimum of three years in automotive or construction equipment parts distribution and warehousing, plus a minimum of two years of warehouse operations experience, or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Prior experience with a computerized inventory system is preferred.

Supervisory experience with an emphasis on training and team building preferred.

Position requires knowledge in the fundamentals of automotive and equipment parts and general knowledge of housekeeping supplies, facility, parks and utilities products.

Must have a mechanical aptitude and the ability to recognize most common fleet parts and tools associated with fleet repairs and acquisition process.

Must pass a credit check and Federal/National criminal background check. Must have a valid Texas driver's license with an acceptable driving record as defined by City policy.

Must pass a pre-employment basic physical, drug screen, and functional assessment screening (Level 2).

Safety equipment such as gloves, goggles, hard hats, safety vests, steel-toe boots, back support belts, and seat belts are provided and must be worn as required by department procedures and good safety practices.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
