Overview
Location: Plano TX
The Warehouse Sr. Admin Assistant will report into Warehouse SVP and provide additional support to the Warehouse VP.
Responsibilities
Maintain calendars and travel itineraries Warehouse SVP and Warehouse VP
Plan extensive domestic travel (and international) and ensure appropriate international travel visas are set up as needed
Manage communications through phone, email and mail for Executives
Manage, prepare and file all expense reports for Executives in proactive and timely fashion and ensure proper documentation
Schedule large and small team meetings and off-sites including all logistics
Provide critical coordination support for Warehouse team meetings and events
Maintain organizational charts, phone lists, email distribution lists and other team information
Interact frequently with PepsiCo Senior Executive Staff assistants as well as PepsiCo Executive Staff and external entities
Support onboarding/offboarding of new team members, as needed
Interface appropriately with internal and external clients and senior executives
Support ad hoc requests which vary in nature & frequency
Order and maintain office equipment and supplies and manage department PCard, including monthly reconciliations
Coordinate various training classes, including registration of participants, ordering materials, scheduling locations and tracking evaluations
Maintain confidentiality and professionalism in the handling of sensitive and confidential information and documents, including HR transactions
Compensation and Benefits:
Location, confirmed job-related skills and experience will be considered in setting actual starting salary.

Qualifications
Strong organizational skills
Strong verbal and written communication skills, will need to interact with multiple levels of management and leaders (both internally and externally)
Ability to function well in a team environment, display professional maturity and interact with all levels of management
Effective communication and collaboration skills
Ability to work on confidential projects and matters, as needed with minimal direction and an appropriate sense of urgency
Excellent follow-up skills
Self-motivated, pro-active team player a must
Ability to manage multiple tasks
High level of Proficiency in Microsoft Outlook, Microsoft Word, PowerPoint, and Excel, with the ability to quickly learn and develop proficiency in various in-house software applications
Mastery of business technology (e.g., telepresence (Zoom), SAP/Oracle, Microsoft Teams, Sharepoint, etc.)
Proven track record of supporting executives or other senior leaders as well as managing multiple and competing priorities
Willingness to learn new software as needed
Experience in prioritizing work and managing expectations with senior leaders
Experience in supporting multiple managers
Time management skills are critical as well as setting up and maintaining an annual calendar of key meetings
