Job Description:

The Administrative Coordinator 3 will provide support to the Veterinary Teaching Hospital, Hospital Supply Operations. It is essential that this person has experience with shipping, receiving, supply distribution, and maintaining inventory levels.

45%- Meets drivers and receives hospital deliveries, sorts packages by departments and verifies packing slips. Scans hospital packages for receipt and triggers email notification for tracking and delivery.

Insures refrigerated/frozen packages are properly stored. Identifies packages for hospital supply, pickup and delivery. Moves hospital supply packages into warehouse and delivers packages/equipment to various departments within the hospital/clinic. Notify Facility Services Manager of any pallet over six feet tall.

10%- Communicates with transportation companies and their drivers to coordinate pickups and deliveries. Submits order confirmations/packing slips to the Business Office.

10%- Assist in filtering hospital supply reorder forms received via email and pulls hospital supply items from stock shelves in order fill orders. Delivers supplies to various departments within the hospital/clinic.

10%- Assist AC4 in refilling Omnicell units throughout the hospital/clinic. Refills copy paper, syringes, needles and drug labels as needed. Assist AC4 in charging clients for hospital supplies in Cornerstone.

10%-Moves inventory by rotating stock and by backfilling overstock. Also, assist the AC4 with quarterly inventory by conducting physical counts of hospital supplies, identifying expired goods, and following proper disposal protocols.

5%-Uses a forklift and pallet jack to unload freight truck pallets and chemical drums. Follows all forklift safety and training standards.

5%-Receives items or other outgoing packages to be ship. Insures refrigerated/frozen packages are properly stored.

Prepares outgoing package labels and ships packages. Manages ink cartridge recycle program shipping and receiving.

5%-Accomplishes warehouse and organization mission by completing job related tasks as needed. Other duties as assigned.

MINIMUM QUALIFICATIONS:

Two years of experience in which clerical work was a major duty.

SUBSTITUTIONS:

Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE:

Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE:

Any college hours or degree must be from an accredited college or university.

SPECIAL OR PHYSICAL QUALIFICATIONS:

May be required to work a variety of shifts including nights, weekends, and holidays.

Emergency response personnel

  • These personnel are linked with the hospital during any emergency response event and are expected to report in and perform as outlined in the emergency response plan.

Required to be capable of lifting more than 50 pounds, standing or walking for prolonged periods, able to reach above and below the shoulder, vision (near sight), vision (far sight), kneel or sit on the floor, push/pulling, grasping, climbing, crawling bending, squatting, and/or twisting.

Due to the nature of this position and/or position responsibilities, this position is subject to random drug and alcohol testing in accordance with University Policy Statement 67.

This position will provide coverage for Hospital Supply within the Veterinary Teaching Hospital as needed at an employment effort not to exceed an average of 29 hours per week.
