The Student Receptionist in the Department of Cultural Programs is a part-time, entry-level role ideal for students interested in administrative support. This dynamic department primarily supports special and performing arts events taking place in the OCCC Visual and Performing Arts Center.

This role entails greeting visitors, answering inquiries about events at the Visual and Performing Arts Center, and performing basic administrative duties to assist the department. Key responsibilities include managing calls, scheduling, and ensuring a welcoming environment for all guests. This position offers students the opportunity to enhance their communication and organizational skills, playing a vital role in the success of events managed by the department.

Minimum Education/Experience

Current OCCC student enrolled in a minimum of 6 hours for the Fall or Spring semester or enrolled in a minimum of 3 hours for the Summer semester.

OR

Current OCCC student with a Federal Work-Study award.

Valid driver's license.

Required Knowledge, Skills & Abilities

Familiarity with general office operations, including phone etiquette, email communication, and filing systems.

Knowledge of the Department's events, schedules, and the layout of the Visual and Performing Arts Center to effectively guide and inform visitors.

Understanding of customer service best practices to ensure a positive experience for all guests.

Strong verbal and written communication skills to clearly and pleasantly interact with visitors, staff, and students.

Skill in managing tasks efficiently, including scheduling appointments, handling inquiries, and maintaining a tidy reception area.

Competence in using basic computer applications like word processors, email, and scheduling software.

Ability to handle multiple tasks simultaneously, such as answering the phone while greeting visitors, without compromising service quality.

Aptitude for identifying and resolving issues promptly, ensuring guest inquiries and concerns are addressed effectively.

Flexibility to adapt to changing priorities and event schedules, maintaining a calm and professional demeanor in a dynamic environment.

Ability to learn new computer programs and technology quickly.

Well-groomed appearance and pleasant phone etiquette.

Self-directed and self-motivated.

Physical Demands/Working Conditions

1.GENERAL PHYSICAL REQUIREMENTS:

Light work: The person in this position may occasionally exert up to 20 pounds of force to move objects.

2.PHYSICAL ACTIVITIES:

This position requires the person to frequently move about the Cultural Programs Office, the OCCC theaters, Art Gallery, and campus to perform the essential functions of the position.

This position requires the person to frequently communicate with and listen to customers, vendors, students, staff, faculty, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position frequently requires the person to operate a computer, other office equipment and mobile devices to perform the essential functions of the position.

This position requires the person to frequently operate equipment that frequently involves repetitive motions of hands and wrists.

This position requires the person to position self to access equipment, materials, or supplies that may be above head or ground level.

3.VISUAL ACUITY:

This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4.WORKING CONDITIONS

This position performs the essential functions in an indoor office setting.

Preferred Qualifications

Bilingual; preferably Spanish.

Prior office environment and/or customer service experience.

Proficient computer skills with Microsoft Outlook, Word, and Excel.

Required Training

Quarterly health and safety training.

Work Hours

As arranged around the student's class schedule, Monday through Friday, 9:00 a.m. to 5:00 p.m., not to exceed 25 hours per week.

Optional opportunities to max out weekly hours by working events.

Greet and assist visitors entering the department, providing a friendly and welcoming atmosphere.

Direct visitors to the appropriate locations within the Visual and Performing Arts Center for events or meetings.

Answer incoming calls, responding to inquiries, and redirecting calls to the appropriate department personnel.

Manage email correspondence, ensuring timely responses to inquiries and forwarding messages as necessary.

Provide accurate information about event schedules, venue locations, and department services to visitors and callers.

Assist in disseminating promotional materials for upcoming events and programs.

Schedule appointments and meetings for department staff as required.

Perform basic administrative tasks such as filing, photocopying, and managing mail.

Assist with maintaining a clean and organized reception area and ensuring office supplies are adequately stocked.

Offer support during department events, which may include assisting with event setup and registration processes.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC's established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation, shelter in place drills, and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
