Job Description:

POSITION: Deputy Registrar

DEPARTMENT: Voter Registration

WORK SCHEDULE: 8:00 a.m.

  • 4:30 p.m., M-F

STATUS: Full-time

FLSA STATUS: Non-exempt

Hourly Rate: 25.3225

Incumbent serves as Deputy Registrar for the Voter Registration Department, responsible for processing voter registration and maintaining related records.

DUTIES:

Processes voter registration forms from registration sites and from office visitors, including assigning identification numbers, verifying addresses, locating addresses on county map and determining appropriate precinct, entering data on computer, printing/proofreading computer printouts, typing cards, and mailing acknowledgements to voters. Periodically purges voters from computer and card file according to state requirements.

Answers telephone and provides information, directs to appropriate personnel, and/or takes messages.

Compiles statistics and mails monthly reports to State Election Commission as required.

If requested, assists the Election Administrator in identifying voters affected by redistricting and/or reprecincting. Determines most efficient way to make changes and notify the voters.

Verifies that voters have been placed in the correct precinct, as time permits. Develops process to determine errors, making corrections and notifying voter registration.

Assists on Election Day, answering questions and verifying registration of voters.

Performs related duties as assigned.

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED.

Working knowledge of standard office policies and practices, and relevant Indiana voter registration and election codes, and ability to apply such knowledge to a variety of interrelated tasks.

Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, fax machine, printers, telephone, copier, voting machine, time stamp, and time clock.

Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, other registration sites, election candidates, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to read and interpret county precinct maps.

Ability to work on several tasks at the same time, often under time pressure, and complete assignments effectively amidst frequent distractions and interruptions.

Ability to understand and follow written and oral instructions/directions, and appropriately respond to constructive criticism.

Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to work alone and with others in a team environment with minimum supervision, and maintain appropriate, respectful interrelationships with co-workers.

Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.

Ability to occasionally work extended, weekend and/or evening hours.

II. RESPONSIBILITY:

Incumbent performs standard, recurring duties according to department policies and procedures and state guidelines. Incumbent receives indirect or occasional supervision, with priorities primarily determined by service needs of the public and seasonal deadlines.

Errors in incumbent's work are usually prevented through clearly defined procedures and are detected through notification from other departments, agencies or the public. Undetected errors may result in loss of time for correction and/or inconvenience to other agencies or the public.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, other registration sites, election candidates, and the public for the purpose of exchanging and explaining information.

Incumbent reports directly to Election Administrator.

IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment involving sitting for long periods, sitting and walking at will, walking/standing for long periods, reaching, bending, crouching/kneeling, speaking clearly, keyboarding, close vision, color perception, and pushing/pulling/lifting/carrying objects weighing under 25 pounds. Incumbent occasionally works extended, weekend and/or evening hours.
