We are seeking an experienced Project Coordinator or Volunteer Services Coordinator to:

  • Meet with leadership to review volunteer programs and identify areas of improvement. Collect and utilize operational and benchmarking data to recommend targets for improvement

  • Assist with defining, implementing and maintaining service standards and quality control procedures in our Volunteer Services division.

  • Participate in the interview, selection and orientation process for volunteers. Work closely with staff to ensure effective utilization of volunteers.

  • Utilize volunteer database to prepare appropriate reports and conduct surveys to evaluate volunteer program operational and fiscal performance.

Education:

Minimum

  • High School Diploma or equivalent

Preferred Bachelors degree in Social Work, Human Resources, Business Administration, Healthcare, Education or related field.

Work Experience:

Minimum

  • 2 years of experience providing administrative support in an office setting

Preferred

  • 2 years of experience coordinating volunteer services activities. Experience working in a health care setting.

Required Skills, Knowledge, and Abilities:

  • Ability to independently research issues and make effective recommendations using critical thinking skills.

  • Effective analytical ability to solve complex problems and issues

  • Competent in MS Outlook, Word, Excel and Powerpoint

  • Excellent customer service skills and ability to work with diverse groups of people

Physical Requirements:

Sedentary: Ability to lift up to 10 pounds maximum and occasionally lifting and/or carrying such articles as dockets, ledgers and small tools. Although a sedentary job is defined as one, which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required only occasionally and other sedentary criteria are met.

Work Schedule:

This is a full time, 40 hours per week, position with shifts scheduled Monday

  • Friday between the hours of 8:00 am

  • 4:30 pm. Hours may vary based on the needs of the department.

The Opportunity The Student Volunteer Management Assistant will be responsible for supporting day‐to‐day operations for the year round Discovery Volunteer program at the Wisconsin Institutes for Discovery Building. This includes communicating with volunteers about applications and shifts, working extensively in the volunteer database, and participating or leading training sessions. This position will work with volunteers who are students, corporate volunteers, working adults and retirees. In addition, this person supports programming work for the Wisconsin Science Festival and other outreach programs. This could include working with community partners to develop programming, assisting with event communications, and supporting program logistics and evaluation. This position offers an opportunity to gain great work experience and the ability to network with WARF and the Discovery Building staff and guests. Qualifications We are looking for candidates that possess strong customer service and problem-solving skills, attention to detail and excellent oral and written communication skills. Candidates should have experience working independently as well as in a team environment. Candidates that have experience volunteering are encouraged to apply. Candidates should have the ability to work 10-15 hours per week. We are looking for students with availability during the following: daytime with some evenings and weekends.
