What will you do as a Volunteer Coordinator

The volunteer coordinator is an essential member of the volunteer team and the hospice cross-functional team and is engaged in a variety of tasks including coordinating and the prompt assignment of volunteers requests; ensuring that the hospice volunteer needs are met on a timely basis; ongoing community recruitment of volunteer. The volunteer coordinator is a well-organized team player and who is open to a flexible schedule with regards to support of various programs and events the volunteer department participates in. Example: Volunteer Appreciation, Grief Support and Pedi Pal Events

This is a 40 hour full time position with the hours of 8:00am-4:30pm that is eligible for benefits.

By virtue of the Volunteer Coordinator job duties and responsibilities, the patients/families/communities that he/she serves, and to better serve the needs of that the patients/families/communities which may arise at varying times throughout the day, there exists a bona fide business need to provide for flexible business hours.

Responsibilities of the Volunteer Coordinator

  • The volunteer coordinator will be based out of HopeHealth's Attleboro, MA office.

  • Volunteer coordinator will have an in- depth understanding of patient and organizations volunteer needs and how volunteers can play a role in better supporting our hospice patients and referral relationships.

  • Volunteer coordinator will attend hospice team interdisciplinary meeting (IDG) in person to patient case managers within all volunteer needs

  • Volunteer Coordinator will receive, assign, and track all volunteers assigned to patients and families in MA, communicating to IDG as needed.

  • In collaboration with the Volunteer Manager and Sr. Director of Clinical Outreach, the volunteer coordinator will prepare and execute a volunteer recruitment plan to align with specific needs of the Massachusetts service area. The plan will include grassroot efforts like in person outreaches and presentations to Council on Aging, colleges, houses of worship, veteran organizations, etc. The plan will leverage prior experiences with actions that have been successful in recruiting volunteers, particularly specialty volunteers.

  • Volunteer coordinator will complete time logging in the electronic medical record for all assigned volunteers.

  • Volunteer coordinator will work closely with manager partnership development to be introduced to HopeHealth partners and potential volunteer recruitment opportunities.

  • Volunteer Coordinator will have a defined goal for recruitment in alignment with volunteer needs and an assignment goal for assignment of volunteers to support patients and care giver needs.

  • Coordinates and provides volunteer services to patients, family members, and HopeHealth staff that are consistent with the goals, definition, philosophy, and purpose of HopeHealth Hospice & Palliative Care.

  • Identifies opportunities to utilize volunteers to supplement paid staff by recruiting potential volunteers through speaking engagements, public announcements, notices to area agencies and organizations

  • Assists with preparation of forms and training materials such as manuals, announcements, and flyers.

  • Interviews potential volunteers prior to assignment of volunteer duties. Assigns volunteers according to patient/family needs as identified by the interdisciplinary team and agency needs. Completes all related documentation. Documents all patient/family contacts and intervention. Follows up with and maintains on-going communication with patients and family.

  • Maintains communication with volunteers, providing pertinent information regarding patient or family, changes in condition, and notifies volunteers of patient's death.

  • Provides support to volunteers through volunteer support group meetings, in-services, mailings and personal notes, direct contacts, and opportunities to participate in weekly care conferences on patient.

  • Consistently applies HopeHealth values in all aspects of work, complying with all established HopeHealth policies and procedures including quality assurance, safety, infection control and HIPAA.

  • Completes any and all duties as required/requested by volunteer supervisor.

Qualifications for the Volunteer Coordinator

  • Associates Degree preferred or equivalent and demonstrated leadership experience; with at least 3 years of general office experience utilizing organizational skills and telephone skills.

  • Experience as a volunteer, public speaking recruiting experience desirable

  • Must be flexible to support and serve the patients/families/communities

  • Valid driver's license with an automobile that is insured in accordance with state and/or organization requirements and is in good working order.

  • Ability to read and comprehend instructions and correspondence in English. Ability to clearly present information effectively to varying levels of staff and management physicians, patients, administrative assistants, operations managers and supervisors and other support and professional staff.

  • Ability to apply mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.

  • Ability to evaluate situations according to established standards and policies. In addition, ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Proficient skills using a computer and ability to effectively be trained further in computer skills for other job-related tasks.

  • While performing the duties of this job, the employee is regularly required to sit, use hands to handle, or feel objects, tools, or controls; reach with hands and arms; and talk and hear. The employee is occasionally required to stand, walk; and stoop, kneel, crouch, or crawl.

  • The employee must regularly lift and/or move up to ten pounds, frequently lift and/or move up to twenty pounds, and occasionally lift and/or move up to forty pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
