The Volunteer Coordinator will support Habitat's volunteer force working with individuals, groups, and non-construction volunteers in conjunction with the Volunteer Manager. The individual will be responsible for cultivating and stewarding relationships with volunteers to increase support and build capacity for the organization. This position will assist in responding to all volunteer inquiries, organizing and scheduling volunteer shifts and work in growing the pool of regular, committed volunteers which our programs rely on.

Key Responsibilities: Truck Driver Duties:

Volunteer Scheduling and Relations

Respond appropriately and in a timely fashion to all volunteer, group, & service inquiries and scheduling-related correspondence.

In partnership with Build and ReStore staff, support the Volunteer Manager in determining volunteer needs for project sites.

Schedule individual and group volunteers, strategically balancing available opportunities.

Maintain and update volunteer opportunities posted on Volunteer Scheduling System, and update to reflect the changing needs of projects.

Assist scheduling all partner families for sweat equity, in coordination with Homeowner Services.

Ensure that volunteers receive informative, targeted communications including e-news, event updates, volunteer opportunities, etc.

Coordinate volunteer photographer schedule for team build days and special events.

Serve as liaison between volunteers and Habitat staff.

Recruitment and Outreach

Schedule and facilitate regular volunteer orientations.

Build and maintain relationships with skilled, returning and/or donating volunteers.

Assist with recruiting and retaining volunteers with specialized skills (construction, retail and committee-related)

Schedule and communicate with groups of volunteers including Corporate Teams, Campus Chapters and Faith Community members.


Develop and implement plans to appreciate volunteers formally and informally, including an annual volunteer appreciation event.

Assist in Volunteer Recognition efforts. This may include volunteer interviews, profiles in newsletters, e-news features, etc.

Visit and/or work at project sites as needed to build relationships and help coordinate during certain special events.

Collect measurable data in relations to volunteer numbers, volunteer retention, & volunteer conversion and share in monthly reporting methods.

Monitor volunteer satisfaction through occasional evaluations/surveys or phone calls.

Administrative Coordination

Maintain volunteer data and volunteer records, including sign-in sheets, liability waivers, youth release forms, etc.

Implement appropriate policies for volunteers completing court-ordered community service, and for volunteers under the age of 18.

Assist in maintaining, updating, and improving volunteer management policies and procedures as necessary.

Be a resource for individuals calling Habitat looking for housing assistance.


Interested in non-profit work and enthusiastic about Habitat for Humanity's Mission.

Detail oriented and highly organized.

Strong written and verbal communication skills.

Ability to self-direct, self-motivate and multi-task.

Experience working with volunteers, speaking to groups and/or group facilitation.

Ability to effectively work with volunteers of varied backgrounds, skills and experience.

Experience in customer service.

Experience with Salesforce or similar CRM system.

The position communicates with a range of diverse populations, as well as program staff, to assess Project HOME's immediate and long-term volunteer needs and place volunteers appropriately. The position coordinates more than 600 volunteers annually, including recruiting, orienting, and scheduling, and manages volunteer inquiries and communications. The position also supports the in-kind donation program.</p><p>ESSENTIAL DUTIES AND RESPONSIBILITIES</p><ul><li>Volunteer Coordination</li></ul><p>o Recruits and retains volunteers to provide services throughout the Project HOME community</p><p>o Establishes and maintains all volunteer communications, acting as the direct contact with volunteers</p><p>o Plans and implements both small and large scale group service projects and volunteer recognition events</p><p>o Collaborates with Project HOME staff to ensure volunteer placements are strategic based on Project HOME's mission and priorities as well as the volunteer's background</p><p>o Collaborates with other Development staff to create and implement opportunities for individual and corporate funders to deepen their relationship with Project HOME</p><p>o Serves as representative for Project HOME at events promoting the volunteer program</p><p>o Collaborates with the Speaker's Bureau to schedule and confirm resident speaker presence at volunteer events</p><p>o Creates onboarding materials and holds orientation sessions for new volunteers</p><p>o Manages and tracks volunteer background clearances</p><ul><li>Holiday Support</li></ul><p>o Oversees and coordinates large-scale holiday volunteer and gift-giving efforts, which includes acquiring large in-kind donations of food and holiday gifts, as well as coordinating meal service for Thanksgiving and winter holidays for all Project HOME residents</p><p>o Communicates with Project HOME staff to schedule Thanksgiving and winter holiday activities and gift distribution</p><p>o Leads weekly holiday progress meetings with appropriate staff</p><p>o Serves as onsite presence during holiday events</p><p>o Oversees the day-to-day operations of an additional seasonal holiday staff person</p><ul><li>In-Kind Donations</li></ul><p>o Communicates with in-kind individual donors, coordinates donations, and generates acknowledgments</p><p>o Interfaces with program managers on a monthly basis and fulfills in-kind donation requests</p><p>o Collaborates inventory needs of organization and maintains the in-kind donation supply</p><p>o Updates the in-kind donation webpage with current needs</p><ul><li>Administration</li></ul><p>o Provides and updates content for Project HOME website, materials, social media, and e-blasts promoting volunteer events, opportunities, and recognition</p><p>o Ensures compliance and maintains records of all paperwork for volunteers (applications, waivers, clearances, etc.);</p><p>o Monitors the Volunteer Coordinator email and phone number and responds to all inquiries in a timely and courteous manner</p><p>o Attends Project HOME meetings relevant to the Volunteer position</p><p>o Enters all volunteer information, paperwork and attendance into Volunteer Management Software</p><p>o Generates reports on Volunteer activity including number of hours served, number of opportunities and other data as requested by the Development and Communications Department or other interested partieso Solicits feedback from volunteers about their training and experience to better improve communication and overall volunteer program</p><p>MINIMUM QUALIFICATIONS</p><ul><li><p>Four-year degree or relevant combination of employment and education experience</p></li><li><p>Two (2) years of experience working with volunteers and/or donors for a non-profit organization</p></li><li><p>Two (2) years of experience with volunteer supervision and/or project management</p></li><li><p>Experience with Volunteerhub or comparable volunteer management software</p></li><li><p>A valid driver's license</p></li><li><p>People-person who enjoys building relationships and offering excellent customer service</p></li><li><p>Excellent verbal and written communication, presentation, and facilitation skills</p></li><li><p>Working knowledge of Microsoft Office Suite especially Excel and Word;</p></li><li><p>Strong organizational skills and detailed-focused with the ability to manage multiple tasks simultaneously</p></li><li><p>Willing to work in a hectic, sometimes unpredictable environment</p></li><li><p>Must be able to work evenings and weekends as needed for volunteer events</p></li><li><p>Attention to detail, including proofreading and project follow-through</p></li><li><p>Ability to work independently and as part of a team</p></li></ul><p>PREFERRED QUALIFICATIONS</p><ul><li><p>Experience in building and sustaining relationships with a variety of individuals</p></li><li><p>Experience in a human services non-profit</p></li><li><p>Experience working within a Development department</p></li><li><p>Working knowledge of Raiser's Edge</p></li></ul><p>PHYSICAL REQUIREMENTS</p><ul><li>Ability to lift and move boxes up to 20 pounds;
