Visions Support Coordinator

Purpose

The job of Visions Support Coordinator is done for the purpose of research, management, planning, execution, and communication of processes related to the Enterprise Resource Planning (ERP) software system (Visions) including software and workflow improvements, training, security, data validation, and reporting.

Qualifications

Required

  • Bachelor's degree in education, Business, Computer Science, or related field from an accredited college/university.

  • Minimum of 3-5 years of experience with software/application support in a school environment.

  • Valid AZ Department of Public Safety (DPS) Identity Verified Print (IVP) Fingerprint Clearance Card.

  • Experience and knowledge of the Enterprise Resource Planning (ERP) software system (Visions) in a local education agency (LEA).

  • Evidence of the ability to troubleshoot issues as they may rise within a given application or process.

  • Comprehensive understanding of using Microsoft Office applications.

  • Ability to conduct project planning, problem solving, and participate within a team environment for the implementation and maintenance of applications used and future applications within the district.

  • Experience creating MS-SQL queries and .csv file creation for the ability of importing and exporting date from applications.

  • Excellent customer service, interpersonal and technical support skills.

  • Excellent organizational skills and attention to detail with the ability to work within specific time frames.

  • Strong analytical and problem-solving skills. Applies principles of logic to a variety of intellectual and practical problems.

  • Strong supervisory and leadership skills to include work with Information Technology employees and prioritization of day-to-day departmental activities.

  • Thorough understanding of information technology, microcomputer hardware and software, and networking principles.

  • Ability to organize, to prioritize and to meet deadlines with accurate attention to detail while working with frequent interruptions and minimum supervision.

  • Strong oral and written communication skills with the ability to maintain rapport and composure with parents, students, staff, and the public.

Preferred

  • Master's degree in education, Business, Computer Science, or related field from an accredited college/university.

  • Knowledge and experience with mainframe computers, timekeeping and ?nancial systems (Time Clock Plus?& In?nite Visions).

  • Bilingual in English and Spanish.

Essential Functions

  • Participate on implementation teams when new applications are introduced for the district as it pertains to the ERP software.

  • Work directly with the district programmer to maintain the import and export process used to keep the applications up to date.

  • Conduct system analysis of data within the applications to confirm accuracy and to find errors that may be causing problems.

  • Provide end user direct support or coordinating assistance from our other IT support areas as required.

  • Keep up with other technology that is available within the educational environment.

  • Prepares materials in a wide variety of formats (e.g., analyses, spreadsheets, procedures, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference, conveying information and/or complying with established requirements.

  • Research software applications, hardware requirements and appropriate vendor resources for the purpose of previewing products to provide recommendations regarding applications and purchases and ensuring availability of materials.

  • Responds to teachers and other district personnel for the purpose of assisting in the use of various software applications.

  • Serves as liaison to and between software/hardware providers for the purpose of providing and/or gathering information and coordinating district activities to effectively meet district goals.

  • Designs and maintains a wide variety of customized programs and queries for department and/or district staff (e.g., C#, ASP.NET and MSSQL, etc.) for the purpose of meeting department and district goals efficiently and effectively while maintaining compliance with all safety, security, and vendor specifications.

  • Develops client/server and web-based applications using Microsoft Visual Studio for the purpose of meeting department and district technology needs in a secure, effective, and timely manner.

  • Develops customized interface programs for the purpose of automating data transfers between third party packages.

  • Develops and maintains Microsoft SQL Server Report (SSRS) utilizing complex SQL queries for the purpose of assisting others in the effective and efficient completion of their activities and in achieving district goals.

  • Develops long and short-range plans for the purpose of ensuring that department/district objectives are achieved, and that electronic information is secured.

  • Oversees training of district personnel as needed and/or assigned for the purpose of ensuring the function of the ERP software.

  • Administers district database servers (primarily Microsoft SQL), web servers (primarily Microsoft IIS), in- house applications (programmed primarily in C# and ASP.NET) and purchased software solutions for the purpose of enhancing user experience, increasing productivity, and ensuring availability of services to authorized users.

  • Evaluate, analyze, design/configure, and maintain the ERP software (Visions) in alignment with business requirements, governing board policies, regulations, and laws.

  • Develop specifications and best practices within the ERP software to develop process improvements across departments and schools with a focus on efficiency and data accuracy.

  • Develop and ensure consistency in roles to support separation of access, data governance, integrity, and security.

  • Manages relationships with ERP software vendor(s) to ensure proper support and data management.

  • Responsible for supervision, maintenance, and technical support for ERP software in collaboration with vendors and information technology to ensure high availability and security.

  • Acts as a liaison between technical and non-technical subject matter experts across the organization to define and deliver projects related to the ERP software.

  • Designs and oversees ongoing staff training on the ERP software and reporting.

  • Responsible for analytical/quantitative approach to data analysis, modeling and ad hoc reporting. Interface with all areas affected by projects, including year-end rollovers, to document requirements and validate completion.

  • Ensures data elements within the ERP software align with needs for internal and external reporting needs. Acts as a subject matter expert to support ERP software integrations.

  • Provides written process and procedure guidelines.

  • Compiling data from multiple sources.

  • Maintains a high level of ethical behavior and confidentiality.

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Responsibility

Responsibilities include working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization's services.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: the employee will be required to reach with hands and arms; some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity; the employee is frequently required to stand, walk, bend, and sit; the employee is occasionally required to climb, or balance and stoop or kneel; the employee must regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 35 pounds. Generally, the job requires 70% sitting, 15% walking, and 15% standing. The job is performed under conditions with some exposure to risk of injury and/or illness. The employee will regularly work indoors. The noise level in the work environment is usually moderate. Travel between District campuses and to locations outside the District is required.

Terms of Employment: Twelve-month, full time

Evaluation: This position will be evaluated annually as outlined in

Governing Board Policy.
