Reports to: Head of Visas and Compliance

The Opportunity

Hult International Business School is seeking a motivated customer-service oriented professional as a Visas and Compliance Coordinator.

Under minimal supervision, this position will be responsible for all activities in support of providing seamless and exceptional service to the university's international population. This position will be the key contact and resource to ensure a positive student experience at the onset. Working very closely with Student Services, Academics, and Registrar, this position will liaise with stakeholders to accurately advise on immigration matters.

The Visas and Compliance Coordinator is required to be certified and serve as a Designated School Official (DSO), approved by the Department of Homeland Security and is charged with the processing of initial and transfer I-20 forms, as well as advising incoming students and currently enrolled students on F-1 visa regulations and benefits. This individual must have the ability to adapt responses to various situations and circumstances, use past precedence in problem-solving, and exhibit exceptional follow-up skills. This is a student-facing role, which requires a positive attitude, and strong organizational and communication skills both in person and through various mediums of communication.

Responsibilities

  • Serve as a Designated School Official (DSO) to federal programs governing the support of international students within in the U.S.

  • Liaise with Enrollment Advisors in to develop best practices and resolve issues for student caseload.

  • Advise a large caseload of international students through the U.S. immigration process.

  • Maintain student records and produce regular reports on the status of visa applications from Hult's CRM, Salesforce.

  • Assist with federally mandated compliance requirements related to the Student Exchange Visitor Information System (SEVIS).

  • Design and facilitate pre-arrival and post-arrival visa information sessions.

  • Create and maintain Visas and Compliance related content, documents, and forms on Hult's student portal.

  • Assists in advising currently enrolled international students in maintaining F-1 status, securing social security numbers, student employment, obtaining externship authorization, and applying for post-graduation optional practical training.

  • Conducting information sessions in-person and virtually in webinar formats.

Requirements

  • Bachelors Degree

  • S. citizenship or U.S. Permanent Resident Status (to comply with legal requirements for issuing immigration documents).

  • Experience working with SEVIS.

  • Knowledge of immigration-related laws, and Department of State and Department of Homeland Security regulations and procedures.

  • Excellent cross-cultural communication skills.

  • Outstanding customer service skills and the ability to maintain composure in a fast-paced, high energy, demanding environment.

  • Analytical and problem-solving capacity

  • Excellent computer skills; knowledge of Microsoft Office (Word, Excel, PowerPoint) and Internet applications

  • Ability to work independently, demonstrating exceptional time management, organization, and judgment.

  • Flexibility with scheduling during peak spring/summer months and some weekends.

VIEW JOBS 11/11/2018 12:00:00 AM 2019-02-09T00:00 Job Description The MacArthur, Rehm and Talkowski groups are all jointly based in the Medical and Population Genetics Program of the Broad Institute as well as the Center for Genomic Medicine (CGM) at Massachusetts General Hospital (MGH). Our teams apply a range of cutting-edge genomic technologies to understand how genetic variation causes disease, as well as how to apply genomic information to the practice of medicine, with a particular focus on childhood-onset diseases. We are seeking a full-time operations specialist to oversee the management of grants and finances for all three groups across both institutions. This role will require experience in financial and grants management, and excellent organizational skills. The candidate will oversee day-to-day lab finances, at the scale of many millions of dollars yearly, to ensure successful research outcomes in a fast-paced, team-oriented and friendly environment. RESPONSIBILITIES Sponsored Research Support: * Assists with both pre-award and post-award grants administration including development, preparation, and writing of all non-scientific grant documents (narratives, budget justifications, other support and scopes of work) * Ensures labs meet all grant submission and reporting deadlines and assists with compilation and approval of financial data for annual/final reports. * Coordinates submission of all proposals with the Broad Institute's Office of Sponsored Research, Development Office and Office of Strategic Alliances and Partnerships, and the CGM financial and research management teams; cultivates relationships with all these groups. Serves as point of contact for grant submission and coordination, including for subcontract institutions Financial: * Oversees overall group budgets across both institutions and monitors lab purchases, placement of salaries, and effort allocations via detailed reports and projections. * Develops the tracking systems and reporting procedures required to accomplish the above * Acts as the point person for cost objects within all three groups - both allocation and permission * Provides periodic updates to faculty on spending rates. * Coordinates with Procurement and Finance departments at both MGH and Broad. * Assists with budget preparation for funding applications, including financial portions of research grants for federal and non-federal funding agencies, and philanthropic proposals. * In conjunction with the Broad Institute Office of Sponsored Research and the Research Management team of CGM, serves as the point person for all three labs on compliance with funding terms and conditions. * Manages billing agreements between both institutions REQUIREMENTS * Bachelor's degree or equivalent work experience required; a minimum of 3 years work experience in academia. * Must have strong project management, prioritization and communication skills to juggle many types and urgencies of activities in a fast-paced and changing environment, alongside people with a wide variety of backgrounds. * Intermediate level knowledge of Excel and Google Sheets required; advanced level knowledge preferred * Preferred intermediate knowledge of higher education research administration and financial management: grant/contract submission, budgeting, monitoring and reporting. * Preferred experience in research compliance (can be a combination of ethical, financial, and legal).
