Summary

JOB SUMMARYCreates, distributes and maintains all vessel schedule information in all Tropical information systems. Makes adjustments to vessel schedule and communicates changes to applicable departments throughout the company.

Coordinates project volumes and special handling movements with ports, sales, client services department and operations. Works closely with the Marketing Department to distribute vessel schedules. Generates and analyzes all Corporate data reporting regarding all vessel departures/arrivals and utilizations including historical comparisons.

Works closely with Operations Controllers coordinating loadlist planning ensuring that booking modifications are communicated and managed according to standard procedures. Maintains accuracy between T-LINK and Terminal Operating System (TOS) to ensure systems are in sync and prevent service failures. Works closely with Operations Controllers/Tonnage Center Vessel Planners providing support in the coordination of cargo bookings from origin to final destination of each vessel string.

Coordinates cargo bumping when vessels exceed capacity throughout entire vessel rotation. Ensures vessel utilization is kept at maximum capacity levels throughout vessel string. Serves as the Interchange gate troubleshooter taking appropriate action to resolve any booking ingate discrepancies.

Coordinates customer inquiries and handles day of sail issues bringing any repetitive issues to management's attention. Researches alternatives to resolve day-of-sail issues and recommends appropriate course of action considering customer and Tropical requirements. Serves as point person for special accounts (e.g., cruise ship dry docks, tanks) and all joint services (e.g., Hyde, Gulfstream). Works closely with Operations Controllers/Tonnage Center Vessel Planners providing support in the coordination of cargo bookings from origin to final destination of each vessel string.Creates and maintains all company wide vessel schedules including Caribtrans, NVOCC carriers and all other applicable services as required.Analyzes and maintains all vessel and port data in T-Link, Navis and Peoplesoft, etc. and communicates company wide as required.Analyzes and develops corporate data reporting for all vessel departures/arrivals and vessel utilization to accounting, senior management, and Saltchuk.Records and maintains vessel schedule/utilization data for historical comparison.Analyzes and creates port efficiency reports based on terminal departure reporting for publication on Florida Shippers.Coordinates customer inquiries, issues, and concerns. Researches possible solutions to issues and provides advice to Customer Service Representatives.

Liaison between client services/trade specialists and port/sales managers on special exception requests. Advises other affected Tropical departments of customer-related problems.Serves as point of contact to trade teams, sales teams, and Island Managers for issues concerning changes to original vessel bookings (e.g., departure delays due to cargo transfer from original vessel to an alternate vessel). Advises booking contact or concerned parties of departure delays.Acts as point person for all day-of-sail dispatch pick up requests. Handles day-of-sail late container arrival issues.

Coordinates with Port of Palm Beach (PPB) planners, dispatch and client services to determine if Tropical is able to extend established cut-off times for container loading and still meet required sailing deadlines. Researches and tracks down all missing cargo for day of sail to ensure all cargo is in port for an on-time departure.Coordinates day-of-sail load list with trade support and operations to ensure proper manifesting and loading. Works closely with Operations Controllers coordinating load list to provide a completed load plan to initiate on-time loading and meet departure times as per vessel schedule. Serves as primary point of contact for joint services (e.g., Hyde, Gulfstream) including the coordination of bookings and equipment management with PPB OPS, Trade, Interchange and Intermodal. Also manages all special accounts (e.g., cruise ship dry dock cargo, tanks) with sales and trade management to ensure timelines are met.Provides reports to management as assigned or requested (i.e., late arrival reports, port volume reports). Reviews reports of misrouted containers to determine cause of error, coordinates shortship and notifies trade management and affected ports.Troubleshoots issues at the Interchange gate in a timely manner to prevent cargo delays. Point of contact for all booking errors in TOS, coordinates resolution to streamline ingate process.Researches and resolves discrepancies between T-Link and TOS system when reconciling daily vessel load lists. Ensures systems remain in sync to prevent any service failures in vessel planning/loading.Responsible for handling all vehicle receiving, purchasing, and Tropical bookings. Coordinates booking process, trade notification, and ingating as needed.Coordinates all day of sail loadlist changes with Operations Controllers to ensure timely adjustments during vessel planning/loading. Ensures changes are adjusted in all T-Link and N4 systems remain in sync to prevent service failures.Coordinates project volumes and special handling movements with ports, sales, and client services by working closely with Operations Controllers, Vessel Planners, Manager of Operational Services and Director of Vessel Planning to determine most appropriate vessel to carry based on specifications, capacity volumes and impact on entire vessel rotation. Responsible for all Miami LCL repetitive bookings to ensure capacity is allocated in advance of overcapacity issues.

Coordinates updates to all LCL reefer bookings with Platinum, Trade, and PPB Operations.Coordinates the bookings of all interline empties with equipment management for timely returns to ensure average per diem costs are kept at a minimum. Responsible for making all bookings for the repositioning of empties based on port requirements or special requests for northbound shipments.Responsible for the coordination of all Out of Gauge (OOG) cargo loading with Rack Support and Vehicle Receiving based on equipment inventory and vessel capacity. Responsible for updating all OOG teus allocated on the vessel to ensure all additional charges are billed accordingly, in order to recoup any operational costs. Coordinates cargo bumping when vessels exceed capacity throughout entire vessel rotation with Operations Controllers/Vessel Planners, Manager of Operational Services and Port Managers. Works closely with Operations Controllers/Vessel Planners ensuring vessel utilization is kept at maximum capacity levels throughout vessel string. Monitors container inventory for containers arriving ahead of sailing schedules to prevent service failures and coordinates necessary rebooking.Provides guidance to Trade Specialists, Client Services and Warehouse Coordinators on best practice in meeting the requirements to ensure loadlists are monitored and reviewed for timely cargo clearance. PRINCIPAL DUTIES AND RESPONSIBILITIES

Notifies all ports and vessels of any schedule changes and/or late vessel arrivals. Coordinates booking changes with ports resulting from unexpected schedule changes.

Works closely with Operations Controllers/Tonnage Center Vessel Planners providing support in the coordination of cargo bookings from origin to final destination of each vessel string.

MINIMUM EDUCATION, CERTIFICATION, EXPERIENCE AND PHYSICAL REQUIREMENTS

EDUCATION: High School Diploma or equivalent

EXPERIENCE: Three years experience in Customer Service or Traffic.

LICENSE: Valid local driver's license.
