Venue Sourcing Coordinator

IQPC, a business dedicated to providing educational content to executives from some of the largest companies in North America is looking for top talent like you to join its expanding office, headquartered out of Tampa, Florida.

We are currently hiring for our Event Operations team, responsible for the logistics and planning behind events designed exclusively for some of the most senior executives. The experience you will gain is vast as you work with venues and third party vendors such as printers, registration companies, general contractors, audio visual companies, etc.


  • Venue sourcing and vendor negotiations
  • Negotiation and maintenance of relationship with suppliers, including but not limited to hotels, airlines, audio visual, signage providers etc
  • Budget analysis and cost control
  • Completion of weekly reports
  • Additional operational responsibilities, as needed


  • At least 2 years of experience with venue sourcing or Hospitality Sales
  • Proficient with Microsoft Office including PowerPoint, Excel and Word;
  • Strong organizational skills and attention to detail, responsible, dependable and a team player;
  • Creative problem-solver with the ability to multi-task, manage multiple projects and meet deadlines in a fast-paced environment;
  • Ability to work under pressure.
  • Self-starter with a positive demeanor and high degree of business professionalism;
  • Must be able to work flexible hours and on some evenings;
  • Bachelors degree required

VIEW JOBS 10/12/2019 12:00:00 AM 2020-01-10T00:00 The Supply Chain (SC) Sourcing Intermediate Analyst is an intermediate level position responsible for participating in procurement activities such as defining the need for goods and services, negotiating price contracts and authorizing payment for goods and services in coordination with the Corporate Services team. The overall objective of this role is to acquire goods and services requested by company personnel in support of the company's business. Responsibilities: * Participate in sourcing process for the various products and services within the sourcing team * Facilitate sourcing process and assist cross-functional team in developing and executing sourcing strategies, supplier management strategies, and contract negotiations including drafting and red-lining contracts * Monitor all aspects of sourcing and contract processes including strategy, negotiation and contract execution as well as assist in supplier negotiations, and financial analysis/modeling while ensuring licensing usage is aligned with license agreements * Respond to customer service inquiries, clarify requirements, and provide information as needed * Utilize Citi tools and processes to research supplier and commodity information as well as work with suppliers to measure and track performance and reporting/reconciliation requirements * Report and record procurement transactions including sourcing request forms, sourcing strategy, savings, contracts, and approved suppliers * Participate and assist in the development, management, and analysis of request for proposals and/or eAuctions * Meet reporting requirements and audit guidelines ensuring adherence to Citi processes and procedures as well as draft and check the accuracy of reports for the team in support of the senior managers * Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency. Qualifications: * 2-5 years of relevant experience * Experience with process improvement * Experience in vendor management, contracting, financial acumen, and commercial awareness * Experience in financial modeling and accounting * Experience with reporting tools preferred * Working knowledge of Procurement tools (e.g. Oracle or SAP eSourcing) * Demonstrated negotiation strategies * Proficient computer skills with a focus on Microsoft Office applications including Microsoft Excel Education: * Bachelor's degree/University degree or equivalent experience Responsibilities include, but are not limited to, the following: * Maintain a comprehensive understanding of Citi's policies and procedures related to supplier selection, contracting and ongoing management, ensuring all requirements are met and documented throughout the end-to-end process. * Manage sourcing projects to negotiate with suppliers with a focus on quality, service, delivery, risk and cost. The end-to-end Source to Contract process for assigned projects includes: * good teamwork skills, especially the ability to work with our client partners in the Market Data area and the ICG businesses * formulation of the sourcing strategy, * confirmation of completion of required due diligence, * develop and execute negotiation strategies addressing all aspects including commercials and contractual terms and conditions, * packaging and routing of the contract for execution, and * ongoing administration of contract records.
