This position has a hybrid work schedule with three days per week working in the office in downtown Richmond, VA.
The Compliance Oversight & Federal Reporting division in the Department of Accounts (DOA) is seeking a qualified individual to support the Commonwealth Vendor Group (CVG) unit as a Vendor Maintenance Analyst.
DOA's mission is to provide a uniform system of accounting, financial reporting, and internal control adequate to protect and account for the Commonwealth's financial resources, while supporting and enhancing the recognition of Virginia as the best managed state in the union.
Job Duties
Ensures compliance with all applicable vendor maintenance policies and procedures for the Commonwealth Vendor Group (CVG) under the Assistant Director for Compliance Oversight and Federal Reporting. Enters, updates, and reviews fiscal vendors in Cardinal; reviews and approves procurement vendors from the eVA Vendor Interface; collects, files, and documents the collection of Form W-9 for vendors; maintains the accuracy of 1099 reporting data on vendors; reviews and updates procurement vendor data from the eVA Error Log; conducts ad hoc quality assurance reviews of vendor data in Cardinal; assists with managing the CVG email account and responds to hotline calls; responds to vendor inquiries, providing timely and accurate information; assists agencies with vendor-related 1099 issues; provides assistance in updating and/or developing training modules and job aids for all CVG and Vendor Maintenance areas; and develops and updates policies related to CVG.
Minimum Qualifications
Knowledge of advanced project management techniques, data collection and analysis. Knowledge of government financial practices including vendor data management; government purchasing policies and procedures; and eVA and its functionality.
Ability to analyze data, make recommendations, and report findings; establish and maintain strong working relationship with customers; and work independently in a professional manner in fast-paced environment.
Additional Considerations
Experience in vendor maintenance, procurement, customer service, or a related field preferred. Experience with Oracle PeopleSoft Financials applications, Enterprise Resource Planning (ERP) systems, and working in a shared services/internal service delivery role preferred. Experience with Cardinal, eVA procurement system, vendor database management, creating training materials, and developing procedures preferred.
