The Vendor Coordinator is responsible for overseeing the entire vendor onboarding cycle, from initial assessment to final contract negotiation and execution. They will also be tasked with reviewing vendor insurance and contracts for accuracy. This individual will liaise with various internal departments as well as the vendor and their insurance agent to rectify insurance and/or contract issues. This individual will work closely with Purchasing Agents, Project Managers, Accounts Payable personnel, Legal Department, Vendors, Insurance Agents, and other departments as needed.
Essential Duties and Responsibilities
Create and send vendor packets based on trade type and risk level and facilitate vendor enrollment using DocuSign for electronic signatures.
Track vendor onboarding progress and maintain a comprehensive vendor database.
Assist Purchasing Agents with conducting thorough evaluations of potential vendors to assess the vendors capabilities, financial stability, and overall suitability for the company's requirements.
Resolve and track lien notice claims by providing confirmation of payment and obtaining waivers.
Review, analyze, provide feedback and approve vendor insurance and contracts. Coordinate these activities as appropriate with various departments.
Assist construction personnel in complying with Purchasing Department procedures.
Perform miscellaneous Purchasing Department activities such as analyzing, pricing, creating matrixes for vendor comparisons, and researching various projects as well as Miscellaneous backup functions (i.e., bid input, phone backup, etc.).
Office filing as needed.
From time to time must complete projects with short notice in extreme time constraints.
Participate in department-wide projects and provide general support as needed.

Qualifications
High School Diploma or equivalent required; 2-year degree preferred.
Requires at least 2 years of relevant experience working with contracts or insurance.
Accuracy and attention to detail.
10-key by touch.
Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint.
