Purpose
The Work Planning Coordinator is responsible for assisting the Vegetation Management Department with key administrative functions and support the Contract Inspector with administrative and work planning tasks.
Accountabilities
Assist in maintaining VMS database with current and accurate information.
Provide administrative support for approximately 7 Contract Utility Arborists in addition to the Liberty System Arborists and Vegetation Program Manager.
Generate Notification Letters and Tree Work Notification Forms using VMS database reporting tool on behalf of the Utility Arborists and mail to customers.
Keep track of status reports for Utility Arborists Work Packets and communicate any records needing follow-up.
Update tree status as Tree Work Notification Forms are received in the mail. File, attach to VMS record, and send copies to Utility Arborist as necessary.
File and attach any Tree Work Notifications forms that are provided by the Utility Arborist.
Assist with Contact Attempt Tracking paperwork.
Use software to help Utility Arborists locate customer information.
Package certified letters and send as necessary.
Assist with the management and development of Customer Request tracking and Customer outreach and provide information to Customer Service Representatives upon request.
Notify customers when requests have been received.
Track customer requests through email and tree trimming hotline. Create customer tags and distribute to System Arborists as necessary.
Provide Monthly production statistics to Vegetation Program Manager.
Education and Experience
High School diploma or equivalent required
Ability to build strong working relationships internally and external of the organization
Strong attention to detail
Strong knowledge of Microsoft office and administrative skills
Valid driver's license
Excellent Time management skills
Excellent written and oral communication skills
Highly self-motivated and organized
Responsive to changing job demands / flexible when priorities change
