Job Description

The Veterans Affairs (VA) Certifications Officer is responsible for certifying students for Veterans Affairs benefits. This person also performs a variety of other Registrar's Office support services.

Job Responsibilities:

  • Serve as the Veterans Affairs Certifications Officer responsible for certifying students for Veterans Affairs (VA) educational benefits which includes:

  • Responsible for the collection and maintenance of necessary forms and records for reporting school enrollment for each student who is receiving education benefits from the United States Department of Veteran Affairs

  • Serving as the primary School Certifying Official (SCO) for Campbellsville University, and serve as the primary point of contact for Veterans Affairs.

  • Maintaining an up-to-date list of all students receiving VA benefits to include name, contact information, specific program for which the student is eligible, the area/major/minor that is chosen by the student, transfer work from other schools and the way that work applies to the student's current program, enrollment records including dropped/added courses, deficient grades and other pertinent info.

  • Entering enrollment and academic program information into the VA system.

  • Meeting with the veterans and their families as needed.

  • Collaborating with both the Financial Aid office and the Office of Business Services to ensure that the VA payments are accurately posted to student accounts. Weekly reports and follow-up are necessary to ensure that all aspects of the certification process are in compliance with the VA regulations.

  • Working with administrative officials such as the Vice President for Academic Affairs in order to maintain Campbellsville University's status as a Yellow Ribbon School and provide information concerning that status as needed.

  • Completing any other tasks related to assisting veterans

  • Provide administrative support to the Registrar's Office by:

  • Serving as the backup staff person for the front desk area, which includes assisting people that come into the office and answering the main registrar's office phone extension.

  • Making all edits and revisions to the university catalogs (undergraduate and graduate) to ensure that the catalogs remain accurate and up-to-date.

  • Overseeing the collection of student attendance data at the beginning of each sub-term

  • Processing change of academic program forms

  • Completing initial review of all student withdrawal forms, and collaborate with other offices regarding the student withdrawal process

  • Verifying data entry for students' academic records

  • Assisting with each of the commencement ceremonies held on the Campbellsville campus throughout the year

  • Assisting other staff members in the Registrar's Office with daily tasks

  • Completing various other projects and duties as assigned

  • Working hours necessary to perform job requirements satisfactorily on a regular basis.

  • Managing absences from work in a responsible manner to ensure service to university faculty, staff and students.

  • Complying with Campbellsville University policies and practices and seeking clarification of them when necessary.

  • Honor the mission of Campbellsville University and abide by rules and regulations and Standards of Conduct outlined in the Administrative Policies and Procedures Manual.

Qualifications:

  • Bachelor's degree is required

  • Proficiency in all Microsoft Office products is required

  • Must have an extremely high level of accuracy, attention to detail, and ability to organize at multiple levels.

  • Excellent communication skills and the ability to get along well with the diversity of those whom we serve in order to provide outstanding customer service in person, over the phone, and through email.

  • Ability to communicate clearly and concisely in both written and oral formats.
