Macy's Technology is seeking a V2C Vendor Direct Operations Specialist. The V2C Specialist provides support to the merchant and selling teams and acts as a liaison with our vendor contacts, while delivering a best in class customer experience.

This Specialist's primary responsibilities are to review daily exception reports and queues dealing with problem shipments from vendors and take action to resolve them within a certain time period. Specialists are required to work with appropriate personnel in buying offices and/or vendors in order to correct the shipment problems dealing with direct from vendor to consumer shipments placed on Macys.com or our stores. Perform other duties as assigned.

Essential Functions:

Supports incident management efforts of low to medium-impacting incidents across own team and external teams, troubleshoots technical problems with production and non-production infrastructure and systems in an operational environment, determines root cause for problems and determines solutions.

  • Daily monitoring and updating of pending vendor orders; revising of reservation ship dates and purchase order cancel dates within the various Macy's order management systems.

  • Responsible for setup and auditing of 3rd party reporting to ensure accuracy of vendor communications.

  • Daily monitoring of various customer service queues/work with vendor partners to coordinate resolution of customer issues in a timely and professional manner.

  • Assist in system training for onboarding of new associates.

  • Gain a solid understanding of PO and Receiving systems in order to perform daily tasks.

  • Research and resolve exceptions from reports and email appropriate business partners in a timely manner.

  • Communicate with Buyers, Planners, Vendors and Warehouse Personnel to resolve issues. Follow up with them, as needed.

  • Perform maintenance to correct exceptions are timely and accurately.

  • Log shipment issues, action taken to resolve any pending orders.

  • Regular, dependable attendance & punctuality.

Qualifications:

Education/Experience:

  • Associate's Degree preferred.

Communication Skills:

  • Good written and verbal communication skills.

  • Ability to read, write, and interpret instructional documents such as reports and procedure manuals.

Mathematical Skills:

  • Basic math functions such as addition, subtraction, multiplication, division, and analytical skills.

Reasoning Ability:

  • Must be able to work independently once direction has been provided, and be effective in a group environment.

Physical Demands:

  • This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking.

  • May occasionally involve stooping, kneeling, or crouching.

  • May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods of time.

  • Involves manual dexterity for using keyboard, mouse, and other office equipment.

  • May involve moving or lifting items under 10 pounds.

Other Skills:

  • Must have intermediate skills in Excel and Outlook.

Work Hours:

  • Ability to work a flexible schedule based on department and company needs.

The VCS will proactively manage their assigned vendors by monitoring their daily activities. The VCS will work to identify possible compliance issues through daily reporting and other related documents and will ultimately assist with corrective solutions. The VCS will ensure that vendors are performing within established guidelines and are meeting required metrics. Through daily monitoring, the VCS helps to ensure that we are meeting customer expectations and maintaining quality standards within our drop-ship program. The VCS will collaborate with various other departments and teams to ensure a positive customer experience, high quality product delivery and reconciliation of internal controls. A successful candidate will also analyze vendor metrics regarding fill rate, processing time, returns, damage and other customer escalations. The VCS will partner with vendors daily to communicate metrics and challenges and will ultimately collaborate with them to find solutions and minimize customer impact. The VCS routinely performs the following tasks/reporting: Job Details – What you'll do * Manage vendor compliance, ensuring vendors are held accountable and compliance adherence is enforced and reported on a standard basis * Facilitate vendor facing meetings to align with assigned vendors and discuss potential to optimize key metrics * Successful onboarding and management of new vendors * Collaborate with various internal departments to address both customer and vendor needs * Ensure that vendors acknowledge, confirm and ship orders on time * Monitor and record vendor inventory levels and ensure sufficient quantity to fill open orders * Ensure vendors are processing returns correctly and within set timeframe * Perform any modification or cancellation to Customer Purchase Orders as necessary * Perform routine Q/A on customer order data * Proactively analyze vendor data to find and correct issues Requirements * BA in Business or related field or relevant experience in vendor compliance or other relevant fields * Supply Chain experience, preferably in an E-Commerce, direct-to-consumer, drop-ship environment * Order Management Experience * CommerceHub experience or other large drop ship fulfillment management system * Proficient in Microsoft Office applications * Oracle e-Business Suite experience or other large ERP supply chain, inventory, purchasing and order management experience a plus. * Microsoft Excel reporting and analysis skills with ability to use formulas (vlookup, Networkdays, etc.) and pivot tables. * Ability to effectively work with cross-functional resources to meet required goals and objectives Purchasing Power is an equal opportunity employer.
