Purpose and role of job: The Utilities Planner is responsible for providing improvements in maintenance and operational work force effectiveness by eliminating potential for delays and obstacles through proper planning. The Maintenance Planner will the facilitate the maintenance planning meetings on a weekly basis. The Maintenance Planner will also plan, schedule, and maintain documentation for repairs, teams with operations and maintenance supervisors on identification, coordination, and execution of maintenance work.

Principal Accountabilities/ Responsibilities:

  • Adhere to the Reliability Work System (RWS) to identify work orders, audit work orders for accuracy, and provide feedback on completed work to Operations and Maintenance Teams.

  • Scope and verify type and amount of work required for work orders by visiting site/location of work needed.

  • Report all conditions requiring maintenance services.

  • Participate in weekly non-outage work scheduling meetings and challenges work order priority when needed based on knowledge, experience, equipment status, and production demands.

  • Participates in determining if indirect work procedures apply for specific work orders.

  • Audits content of work order documentation to ensure all required information is present (i.e. equipment identification, clear description of problem, correct coding, proper trade identification, work order type, cost center, estimated labor hours and manpower required to complete, priority rating, work order status, and class).

  • Facilitates weekly work order planning meeting.

  • Ensures all preventive maintenance, predictive maintenance, basic care, compliance, and safety routes that are due are put in Ready to Schedule status and the Operations and Maintenance teams are made aware of what routes are due.

  • Reviews work order backlog for all overdue preventive maintenance routes and outage preparation work.

  • Prepares a weekly forecast of all work that will be ready to schedule for the following week.

  • Ensures history changes for completed work are entered into the CMMS.

  • Obtains outside resources as necessary (contractors, vendors, parts, etc.).

  • Develop planned work order packages that include but not limited to: materials/parts required, repair procedures, schematics and drawings, risk assessment checklists, specific tooling required, lockout and confined space entry procedures, repair history, manpower estimates, additional environmental or safety concerns.

  • Maintain standard work order packages for repetitive tasks.

  • Identify any logistical or coordination bottlenecks (i.e. crane usage, lift availability, conflicts with other work being done).

  • Identify suspect equipment by reviewing work history to confirm repeat failures and communicate the identified issues to Maintenance Supervisors and Operations teams.

  • Order materials as needed for work orders by:

a. Contacting vendors and ensuring correct materials are ordered

b. Create purchase requisitions for non-stock parts and materials needed to perform work while ensuring requisitions have all proper documentation, description, cost centers, and vendors identified correctly

c. Utilize the pick ticket system to ensure all stock parts are ordered through the Storeroom, ensure parts are retrieved from Storeroom and delivered to job site ahead of scheduled work start

d. Track parts and material orders to ensure timely delivery

e. Ensure work order status for pertinent work orders changed from Awaiting Parts to Ready to Schedule and communicate the status change to Operations and Maintenance teams

f. Return all unused parts.

  • Coordinate and manage service representatives and contractors to develop scope of work and ensuring competitive bids are obtained when required.

  • Ensure contractor management training is completed.

  • Ensure all contract job documentation is completed as required.

  • Responsible for ensuring duplicate or unnecessary work orders are deleted from the backlog.

  • Audit and close out completed work orders.

  • Adds and updates equipment records within the CMMS, including new installations, demolitions, and removal, etc.

  • Ensure availability of critical spare parts and act as a resource to locate needed spare parts.

  • Identify need and submit approval to stock new parts in storeroom.

  • Train team members in the use of the CMMS.

  • Participate and lead Root Cause Analysis investigations as needed.

  • Ensure maintenance shop housekeeping is at acceptable levels.

  • Participate in the budgeting process to identify needed equipment/facility repairs.

  • Complies with, and is a role model for, all First Quality safety and handbook protocols.

  • Interfaces with the Operations team for daily, weekly, monthly, and outage maintenance work planning.

  • Coordinate and schedule work in support of the mill's lubrication effort.

  • Be a role model demonstrating the FQT "Rules of Engagement".

  • Fill in as the supervisor when they are absent from the mill.

  • Take off-shift and weekend calls to cover as maintenance supervisor.

  • Participate in weekend on-call coverage rotation.

Education and experience requirements:

  • Possess excellent time management and organizational skills.

  • Above average troubleshooting skills with analytical thought processes.

  • Demonstrates good leadership qualities - accountability, credibility, and trust.

  • Employs excellent interpersonal and communication skills.

  • Possesses intermediate computer and logic skills.

  • Ideal candidate will have functioned in a maintenance role for five years.

  • Standard knowledge of safety regulations within the manufacturing field.

  • Understanding of CMMS in use at site or equivalent experience with alternate CMMS systems.
