SummaryThe successful candidate will maintain files of engineering drawings, reports, specifications, and QMS documentation. Prepares process and status reports, assign and monitors document numbers, and reviews documents for accuracy and completeness. Ensures documents meet standards for production. May use CAD software/database. They are confident in their abilities, possess strong organizational, and interpersonal skills with the ability to prioritize and manage multiple activities and assignments while ensuring that shortcuts are not taken with regards to Quality.

Job Description

JOB DESCRIPTION:

  • Applies acquired job skills and company policies and procedures to complete assigned tasks.

  • Must possess strong computer skills.

  • Must be competent with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc)

  • Working experience with SAP or equivalent ERP product and productivity software desired.

  • Must understand Pagination and Change Management theory.

  • Maintains and updates electronic information systems and databases.

  • Maintains and updates product data books as needed.

  • Reviews QMS and Engineering documents for accuracy and correct/current revision.

  • Reviews, compiles, and archives DHRs (Device History Records).

  • Participate in and run the Change Review Board meeting and others as needed.

  • New Part/QMS document number generation.

  • Notifies appropriate users when new/updated versions of documents are published.

JOB COMPLEXITY:

  • Works on assignments that are semi-routine in nature but can remain flexible and adjust workload according to changing priorities.

SUPERVISION:

  • Requires little supervision for day-to-day tasks working as an individual contributor in the quality team and seeking guidance when needed.

BASIC QUALIFICATIONS:

  • High school degree or GED required
  • 2-3 years of experience in Document Control required

PREFERRED QUALIFICATIONS:

  • Associates degree

  • 3 5 years of experience in Document Control

  • Strong Organizational Skills

  • Working knowledge of SAP

  • Working knowledge of Sharepoint

  • ISO 9001, QMS experience

  • CAD software (Pro-Engineer and SolidWorks)

  • ECTR

  • Silicon Experts

ENVIRONMENT AND PHYSICAL REQUIREMENTS:

  • Office environment

  • Light lifting (up to 25lbs)

  • Bending or stretching (for filing)

  • Travel unlikely

  • Travel may be required 0 5%.

The Document Control Specialist is responsible for the management and review of all company-wide policies, procedures, work instructions, job aids, and any additional materials to assure the company of continuous compliance performance with appropriate regulatory standards and legal procedures. The Document Control Specialist is responsible for document control practices which ensure all revisions of a document are appropriately cataloged and all published versions are current. To protect the company's interest, in case of an audit or incident, it is crucial and critical to be able to retrieve the applicable documentation. This includes the current and/or historical version of all documentation based on the audit requirements. Responsibilities – * Manages organizational documentation through the document life cycle adhering to designated internal controls as well as developing and maintaining a comprehensive database of all company documents such as policies, procedures guidelines, forms, templates, and training materials, etc. * Ensures that all documents go through an approved and documented review process and receive approval by all legal and regulatory compliance-related stakeholders before being published. * Maintains relationships and communication with key stakeholders across all departments ensuring their interests and directives are followed throughout the document lifecycle. Leverages those relationships to identify impactful updates occurring within the company and ensuring they are captured. * Ensures all employees are using correct versions of documents. Acts as a point of contact for retrieval of specific documentation, as requested. * Supervises a database of all documentation that includes version history, review date, and document approvers. Archives inactive records in accordance with the company's records retention requirements. Identifies and investigates the need for documents of various types. * Ensures internal controls are in place and functional. Edits and updates documentation based on established review schedule. Releases finished documentation to document repository and maintains organized records of all materials, drafts, and previous versions. * Prioritizes and plans work activities; uses time efficiently; requests additional resources as needed; sets goals and objectives; organizes and schedule tasks; develops realistic action plans. Required Skills Requirements – * An Associate's Degree in Business or related field. * 3-5 years' professional experience in documentation management. * Experience editing technical documentation, training manuals, and policies and procedures. * Experience with documentation management software. * Advanced proficiency in Microsoft Office Suite including Visio and Office 365. * Real estate, property management, construction, maintenance, and/or financial services industry experience preferred.
