Who You Are:

As our Unit Staffing and Administrative Coordinator for Catholic Medical Center (CMC), you'll play a pivotal role in ensuring smooth operations within our nursing department. Working closely with the Unit Director/Service Line Director, you'll take charge of scheduling and coordinating nursing care staff. Your responsibilities will include maintaining the Kronos system, providing support to staff utilizing Kronos, and generating reports to facilitate decision-making by nursing leadership. Additionally, you'll handle various administrative tasks with precision and efficiency, contributing to the overall effectiveness of our healthcare team.

This is a fully benefitted 40 hour/week position, Monday through Friday with some weekends (variable) according to the rotating working schedule.

What You Will Do:

Staffing, Scheduling and Timekeeping:

  • You'll be the go-to person for managing our Kronos system, handling everything from updating staff schedules to troubleshooting any hiccups that arise.

  • Work closely with our leadership, peers, and staff to provide support and share best practices for using Kronos effectively.

  • Dive into Kronos data to spot trends, analyze patterns, and help our nursing leadership make informed decisions.

  • Serve as a liaison during Kronos orientation sessions, ensuring our team members are equipped with the knowledge they need.

  • Assist in developing schedules and keep a close eye on staffing needs, making adjustments as necessary to ensure we're always covered.

  • Respond to staffing requests, assess needs, and work with nursing leadership to ensure our units are appropriately staffed at all times.

  • Keep our nursing leadership in the loop about staffing changes, including any supplemental assignments or unfilled vacancies.

  • Collaborate with our Director of Nursing Float Pool & Staffing Support Services to provide technical support for Kronos and other scheduling systems.

  • Prepare reports and data to help track nursing productivity and fiscal management, keeping us informed and on track.

  • Continually assess staffing needs based on patient care requirements and adjust plans accordingly in collaboration with nursing leadership.

Administrative Duties:

  • You'll be the friendly face who inputs orientation schedules for all our new team members, ensuring they start off on the right foot.

  • Participate in meetings with Nursing Leadership to discuss staffing, vacancies, and important matters like time off and orientations.

  • Maintain our list of contracted staffing, making sure invoices are paid accurately and on time.

  • Keep position control records current, updating them regularly to reflect changes in staffing.

  • Request IS access for new employees, ensuring they have the tools they need to succeed.

  • Monitor staff competency compliance to ensure everyone is up to date with required certifications.

  • Read and analyze incoming communications, determining their importance and distributing them accordingly.

  • Oversee central supply ordering in collaboration with purchasing, ensuring our teams have what they need to provide excellent care.

  • Work with EVS to coordinate unit cleaning projects, maintaining a safe and hygienic environment for our patients and staff.

What You Will Bring:

  • Associate Business degree with 3 years of business office experience or high school diploma with at least 5 years of business office experience.

  • Proficiency in Microsoft Word, Excel, Access, and PowerPoint and Smart Sheets preferred.

  • Experience with payroll interfaces is preferred.

  • Familiarity with Kronos Timekeeper, Workforce Scheduler, and Extensions programs in Healthcare.

  • Eagerness to learn and looking for a challenge.

  • Flexibility, multitasking and great attention to details.
