Provide administrative and organizational support for our nursing units. This position serves as the initial point of contact for patients, residents, family members, physician practices, health care providers, and vendors. Reporting to the Nurse in Charge of Assigned Units/Day Supervisor, the Unit Secretary carries out designated administrative, clerical, and other tasks as needed.
Greet visitors and provide needed information or direct to appropriate areas.
Schedule outside appointments including diagnostic tests both on and off site per clinical direction.
Schedule and arrange transportation for appointments for patients.
Communicate with pharmacy on medication orders, prior authorization requests, and other issues
Receive all prior authorization requests and follows up with physicians or mid-level providers.
Track due dates for physician certifications and coordinates with physicians or mid-level providers
to ensure they're signed and current for all patients.
Complete face to face referrals for patients discharging home with home services.
Ensure physician folders are kept up to date for physicians and mid-level providers including
Supportive Care FNP.
Review lab book daily to be sure all labs ordered are completed and received for provider review.
Operate paging/telephone system as required and be able to assist callers to connect to
appropriate individuals or provide needed information.
Files paperwork in charts or other areas designated by supervisor or policies and procedures.
Audits charts and corrects any findings, keeping charts in good order.
Maintain current listing of resident directory.
Meets residents' needs by promoting highest level of independence.
Welcome and assist in new employee orientation.
Must maintain information as confidential material, per HIPAA.
Follow the facility's safety policies and procedures.
Principles of infection control and prevention are consistently followed. Demonstrate adherence to
universal precautions and exposure control plan/ Personal protective equipment when appropriate.
Possess a pleasant and professional telephone and personal presentation.
Work with people in a positive and friendly manner.
Basic understanding of telephone systems, computer and photocopier.
Work with frequent interruptions and multi-task effectively.
