  • Directly assists the commander/director in the management of all administrative support program functions.

  • Serves as the resident subject matter expert for all mandated administrative support programs.

  • Serves as a unit liaison to the military and civilian personnel offices.

  • Performs other clerical and administrative work in support of the office/organization.

Qualifications

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-5, or equivalent in other pay systems. Examples of specialized experience includes knowledge of an extensive body of policies and procedures governing the overall unit administrative and orderly room operation. Knowledge of various steps and procedures needed to perform duties, to ensure all actions are accomplished and if problems exist, to identify other alternatives as needed. Knowledge of standard processes and procedures for evaluating program efficiency to implement processes to prove programs. Knowledge of duties, priorities, commitments, policies, and program goals of the organization sufficient to perform non-routine assignments, such as independently noting and following-up on commitments made at meetings/conferences; advising others on preparing correspondence, requirements for various reports, and interpreting new instructions and procedures; or locating and summarizing information from files and documents that requires recognizing which information is or is not relevant to the problem at hand.

FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-5 level is required to meet the time-in-grade requirements for the GS-6 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1.Knowledge of the organizational and functional responsibilities and operations of an organization.
2.Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
3.Skill in fact-finding, problem analysis, problem resolutions, and development of concrete action plans to solve problems.
4.Ability to gather, analyze and present facts, communicate effectively, using tact and courtesy and posses the ability to plan, organize work, and meet deadlines.
5.Ability to plan and organize management programs and functions of an organization

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

IF USING EDUCATION TO QUALIFY: You MUST provide transcripts to support your educational claims. Education must be accredited by an accrediting institution recognized by the U.S. Department of Education.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program. It is your responsibility to provide such evidence when applying.

Job Summary (Essential Functions) The Coordinator reports to and provides direct support to the Director of Development; Director of Communications and Director of Public Affairs to include providing administrative support for Fund Development efforts and events as assigned. The Coordinator is responsible for maintaining a fund portfolio with absolute data integrity and ensures delivery of impeccable donor services. He or she works closely with Peak Vista staff, volunteers, community organizations, and local service groups. Essential Duties and Responsibilities include the following: * Serves as primary support person for Fund Development, Communications and Public Affairs Departments. * Develop and maintain internal systems to manage donor information and fund raising campaign strategy. * Process gifts and pledges in donor database system and prepare thank you letters, generate call lists and other correspondence as required. * Support internal and external events as needed. * Assist with mailings, thanks you letters, event invitations, etc. * Create monthly fundraising reports and other reports as needed. * Coordinate with Finance on reconciliation of donations. * Administer Enterprise Zone forms, donations, reconciliation and certification. * Manage and maintain communication and promotional materials for donor proposals and community presentations, and dignitary presentations. * Organize and manage direct mail and online campaigns. * Assist with cultivating new and existing prospects. * Assist with annual giving activities, including donor recognition and fundraising events. * Ability to follow up on outstanding pledges in appropriate manner. * Provide administrative support to team, including calendar management. * Plan, arrange, and schedule meetings with detailed information on the purpose, potential attendees, required meeting materials/presentations. * Create agendas and take minutes at meetings. * Procure office supplies as needed. * Provide primary coverage for front desk Receptionist's breaks, lunches and time off. * Other duties as assigned. Qualifications Education: Associates Degree preferred. Work Experience: Two years general administration experience required, donor database management preferred.
