Unit Clerk - Wilkerson Commons Dining Center

TITLE: Administrative Assistant

SUMMARY OF POSITION: The purpose of the position is to provide administrative assistance to the Chair of the Department, full-time and adjunct faculty, as well as to the Admission, Progression & Graduation (APG), and Evaluation Committees. The Department of Nursing consists of two separate and distinct programs: the Associate in Applied Science in Practical Nursing (AASPN) program, and the Bachelor of Science in Nursing (BSN) Completion program with both face-to-face and online options.

REPORTING RELATIONSHIP: This position reports to the Chair, Department of Nursing


  • High School diploma or GED

  • Four (4) years of directly related work experience

  • Working knowledge of office management

  • Decision making skills

  • Self-motivated

  • Ability to work unsupervised

  • Show initiative to start projects and ability to complete them in a timely manner

  • Ability to use/operate office equipment (i.e. computer, printer, scanner, copier)

  • Ability to organization and prioritize

  • Detail oriented

  • Excellent communication skills


  • Associates Degree in related field

  • Familiarity and use of Campus Connection

  • Computer Skills utilizing Microsoft Word, Excel, and Outlook

COMPENSATION: Includes a salary of $29,000 - $36,000 commensurate with qualifications and experience. And a comprehensive fringe benefit package, including employer-paid full-family coverage health insurance, NDPERS retirement, tuition waiver benefits and much more.

LOCATION: Dickinson, ND

STARTING DATE: As soon as possible


  • Compile data for NLN, ACEN, AACN, and ND Board of Nursing (NDBON) annual reports

  • Setup, format, finalize, print, copy, bind and distribute Self-Study Reports for the AASPN and BSN programs for the North Dakota Board of Nursing and ACEN when applicable

  • Maintain archived NLN, ACEN, and NDBON correspondence and report files

  • Access Campus Connection Financial Portal to assist in maintaining budget records and forecasts; prepare monthly purchasing card (P-Card) reports and requests for payment with supporting documentation

  • Manage and monitor the budgets under supervision and direction of the Chair, and process financial requests and purchase requisitions

  • Submit documentation to respective Boards of Nursing for AASPN and BSN graduates' initial license by examination applications

  • Compile/review/submit NCLEX applications for AASPN and BSN graduates

  • Record, transcribe and distribute meeting minutes

  • Distribute copies of and maintain/revise the Advisory Committee member contact list, attendance records, by-laws and minutes for meetings held every semester

  • Compile/revise/copy and distribute the Department of Nursing Policy Handbook for faculty, administration and students biannually; maintain the updated copy on the Department or Nursing homepage

  • Assume departmental webpage representative role and communicate needed changes/additions to the Web Communications Specialist when needed

  • Verify faculty textbook online adoption orders, as required semiannually

  • Analyze administrative office practices and implement changes for improvement

  • Send summer orientation letters to all incoming students for fall semester and in December (as needed) for spring semester

  • Order name tags for students annually, and faculty as needed

  • Devise/establish clinical performance evaluations and agency specific forms as needed

  • Create and maintain pre-nursing, wait-listed, current, and graduate student files (as relevant to their progression status)

  • Maintain lists of contact information for current students/faculty/staff and class schedules on a semiannual basis

  • Track web based Inquiry Forms and contact prospective students as needed

  • Assist in verifying all students continue to meet respective program admission, progression and graduation requirements semiannually and compile cohort student grades across the program to track progression and cumulative nursing GPAs

  • Greet visitors/prospective students/parents and guests; provide program information and/or direct them to appropriate individuals/resources within the department or on campus as needed

  • Maintain supplies/equipment/form requests and inventory

  • Hire, train, supervise and evaluate student employees bi/annually as needed and ensure they complete the online confidentiality training

  • Perform other duties or complete specific tasks as assigned

Status: Full-time (100%), benefitted, non-exempt (from FLSA overtime)
