  • Supports patient care delivery by providing clerical services.

  • ESSENTIAL FUNCTIONS

  • PROMOTES PATIENT CARE

  • By responding to patient requests and insures follow-up

  • obtaining needed services from nurses, licensed practical nurses, physicians, aides, and other hospital associates.

  • By greeting visitors, in person or on the telephone

  • answering inquiries

  • relaying calls to patients

  • giving directions

  • referring inquiries to nursing and physician staff.

  • Dealing with vendors for equipment rentals

  • Calling other facilities for patients follow up appointments

  • COMMUNICATES/PROVIDES INFORMATION

  • By answering questions and requests and relays information accurately

  • uses unit communication book to relay messages to staff on other shifts.

  • ESTABLISHES PATIENT RECORD

  • By preparing medical record

  • completing patient identification information, if applicable.

  • TRANSCRIPTION AND MAINTENANCE OF PATIENT RECORDS

  • Accurately completes all necessary requisitions for diagnostic tests, either manually or by computer

  • Makes appropriate copies of medical records for diagnostic tests and consults

  • Fax billing sheets to be enter in Cerner for daily census

  • ADMISSIONS PROCESS

  • Creates admissions packets/folder for new admits

  • Consent upon admission registration

  • Written disclosure statement

  • Personal property release of responsibility

  • Authorization to release health information

  • Request for restriction of health information/visitors' restrictions

  • Influenza vaccine

  • Pneumococcal vaccine

  • Physician Notification Form

  • Vehicle Registration Form

  • Designated Contact Person

  • Once all papers are completed in full they are scanned in to Cerner

  • Creates labels for patients and hospital id bands

  • Request WiFi Passwords

  • Enters in patient's insurance information

  • Scanning all documentation

  • Hourly rounding

  • Insurance Verification

  • Follow up appointments

  • Patients Labs

  • NEW ADMIT

  • Assets Patient Records once they arrive

  • Checking for upcoming appointments that are scheduled prior to admissions

  • After assessing records, discussing with providers what future appointments need to be made.

  • Scheduling out any follow up appointments that are order by provider

  • Ordering and scheduling any additional equipment, labs, and testing

  • For Example: If a patient is admitted and providers assess patients and would like an additional MRI to be schedule, or a g-tube consult, ophthalmologist appointments

  • Scheduling proper staffing for incoming patient

  • Scheduling out transportation for appointments

  • DISCHARGES

  • Creates discharge packets/folders

  • Communicating with Care Management for upcoming appointments

  • MAINTAINS PATIENT CONFIDENCE AND ORGANIZATIONAL CONFIDENTIALITY

  • Keeping all information private.

  • MAINTAINS SAFE AND CLEAN WORKING ENVIRONMENT

  • Complying with procedures, rules, and regulations

  • adhering to infection control policies and protocols.

  • MAINTAINS UNIT OPERATIONS AND EFFICIENCY

  • Following policies and procedures; reporting needed changes

  • Entering work order to maintenance

  • Speaking to disciplinary's in regards to innocents

  • MAINTAINS UNIT SUPPLIES SPECIAL ORDERS

  • Ordering special formulas for incoming or current patients

  • Ordering additional items for patients needs

  • SYNAGIS

  • Contacting insurance companies for preauthorization this can take up to 24 to 48 hours

  • Once authorization is completed patient information is sent to insurance company

  • Once it approved the script is sent to specialty pharmacy

  • Communicate with providers when synagis are being delivered

  • Keeping track of synagis monthly

  • For example, patient received first dose in October 5th, moving forward their next one will be the 5thof every month. Refill authorization forms get completed and sent over to specialty pharmacy

  • CUDDLE PROGRAM

  • Cuddlers will call unit secretaries to see if there are any patients in need of cuddlers

  • Set up a schedule for them when coming into the unit. Assigning them to a patient. If the patient is no longer available the schedule is revised and be given other duties.

  • For example: If patient is not available, cuddlers can be reassigned to help clean toys or read books to other patients.

  • LAB TESTING

  • Call health network labs for pick up times

  • Checking status of lab orders that are sent out

  • If labs results are not sent in within the time frame calling health network to get a time frame of when they will be in.

  • RL SOLUTIONS

  • Submitting RL for patients and family food trays

  • For example:

  • Trays are incorrect

  • Food is under cooked

  • Food is late

  • Trays are missing

  • DIETARY

  • All patients and family food orders are collected and giving to dietary for process

  • Making sure all food is submitting correctly for each patient and family

  • Stock-Orders:

  • Drinks

  • Snacks

  • Utensils

  • Coffee

  • All paper products

  • SCHEDULES

  • NHPPD Schedules for daily staffing

  • Keeping NHPPD updated with changes

  • Weekly scheduling for nursing and CNAs

  • MONTHLY REPORTS

  • IV-Line Days

  • Hand Hygiene

  • Patients Satisfaction Survey

  • Hema Prompt

  • Case Mix are done daily

  • Preemie log are done upon admission

  • EQUIPMENT RENTALS

  • Following manufacturer's instructions and established procedures

  • Bed Rentals

  • Crib Rentals

  • Confirming deliveries

  • Calling for rental pick ups

  • Transferring name on bed/crib rentals

  • Removing defective equipment and calling for repairs

  • Insuring rentals are returned and received in a timely matter

  • Verifying invoices with Administrative Assistant that there are no discrepancies

  • MAINTAINS CONTINUITY AMOUNG WORK TEAMS - CONTRIBUES TO TEAM EFFORT

  • Contributes to positive working environment and maintains effective work relationship with all hospital associates

  • Attends and contributes positively in unit and departmental meetings

  • Participates in committee meetings, performance improvements projects, quality improvement

  • Demonstrates flexibility in response to change

  • Acts as support personnel to allow other associates to complete their responsibilities

  • Attendance is maintained

  • Demonstrates on-going participation in continuing education

  • By completing mandatory educational requirements

  • Identifying and addressing learning needs

  • QUALIFICATIONS:

  • Education

  • High School Diploma required

  • Work Experience

  • Previous clerical experience preferred

  • Licenses / Certifications

  • Basic Life Support / CPR, as a healthcare provider, per the American Heart Association required
