Coordinates a variety of duties for the undergraduate programs in the Kirkhof College of Nursing in which discretion and/or judgment concerning the procedures to use or policies to follow is required.

Essential Functions:

  • Coordinate administrative duties for the operation of the Undergraduate Nursing Program in Kirkhof College of Nursing. This includes answering telephones, managing calendars and correspondence for the Associate Dean for Undergraduate Nursing Programs, planning and coordinating administrative activities, communicating with faculty and students, evaluating mail, maintaining electronic/paper recordkeeping systems and materials, coordinating and implementing projects and events, and assist with preparation and dissemination of Exit & Alumni Surveys for undergraduate programs.

  • Manage and monitor KCON student course evaluation process - Laker Impressions of Faculty Teaching (LIFT) - for undergraduate programs. Requisite knowledge of course offerings/scheduling is required. Coordinate access to IASystem, as needed. Responsible for deployment of LIFT evaluations for all undergraduate faculty each semester.

  • Manage paper and electronic filing systems and confidential records related to the Undergraduate Associate Dean's activities, course offerings, student grades, licensure applications, and education certification documents.

  • Serve as KCON Blackboard Administrator, enabling faculty, Teaching Assistants (TAs), and staff access to Blackboard (Bb) courses and organization sites. Correspond with GVSU Bb Admin/IT department to ensure that new faculty (new clinical instructors) are added to NUR node. Utilize KCON Faculty Assignment Database to ensure alignment with Banner listings and Blackboard assignments.

  • Serve as liaison between KCON Dean's Office, Office of Student Services, Associate Deans, KCON Faculty, and undergraduate Nursing students including dissemination of information that may require explanation, interpretation, and implementation of established university and departmental policies and procedures, and directs individuals to sources of additional information

  • Manage Clinical Placement data for submission to the Health Compliance Office - for the purposes of dissemination to University databases.

  • Coordinate administrative and academic support to undergraduate KCON faculty as assigned.

  • Collaborate with institutional analysis on the completion of the AACN Survey report for undergraduate programs annually.

  • Administrate ATI assessments for KCON academic programs, serving as proctor on an as-needed basis. Ensure necessary instructor/TA access to remote proctoring systems for examinations.

  • Serve as administrator to departmental databases and systems, assisting with maintenance as needed. Requires knowledge of faculty assignments and courses offerings; adds all new clinical instructors to faculty/staff database, maintains a current distribution list, and maintains a file of all syllabi offered each semester.

  • Coordinate Affiliate Faculty annual review process which includes building and maintaining Bb site for document submissions; guiding affiliate faculty by providing instructions regarding the process; tracking faculty submissions and sending reminders as needed; scheduling review meetings; and ensuring appropriate routing/archival of documents

  • Serve as data manager (e.g. Banner/IA) for new undergraduate faculty related to Banner access/use to locate student information, course offering information, class lists, and faculty information.

  • Facilitate the coordination, preparation, and submission of undergraduate course offerings for KCON and responsible for submission in CourseDog. This includes managing college annual course schedules and course changes. Acts as liaison between dean's office and department staff and faculty. Acts as liaison with the Registrar's office.

  • Facilitate Virtual Simulation platform coordination at onset of each semester by ensuring faculty access to appropriate virtual resource platforms, providing instructor quick-start guides and instructor codes. This includes vendor-relationship management with publishers (Elsevier/Evolve, Lippincott, ATI) working to ensure that faculty and TA's have appropriate access levels, and responsible for dissemination and management of vSim student code usage, distributing codes on as-needed basis, in conjunction with faculty requests.

  • Coordinate contractual assignments for new and returning Adjunct Faculty, including preparation of contract letters, facilitation of onboarding, and authorization of new hire documentation. Requires high degree of attention to detail. Act as point-person throughout the hiring and onboarding process. This includes routing paperwork to necessary offices (Human Resources, Payroll, Provost Office) and providing information to new hires on Health Compliance requirements and connecting new hires with Sr. Director for Health. Communicates GVSU network credentials for new employees along with additional information in order to "get started" as an employee at GVSU (e.g. information regarding parking permits and facilitate ordering key/access card, and name pins). All employee contract pay information is compiled in a budget spreadsheet for reconciliation purposes. Communicates with Academic Community Liaison and adds employee to the respective Bb courses and organization sites, and provides information regarding operating under COVID-19 considerations at GVSU. Monitors completion of online/hybrid training for those who require it.

  • Guide undergraduate Nursing students through the RN licensure application process. Meets with each NUR 467 or NUR 472 student who indicates that they are pursuing out-of-state licensure to research the requirements of the RN licensure processes noted on the board of nursing websites and provides guidance to students in the form of email correspondence; as well as meets one-on-one with each student who is pursuing out-of-state licensure. Education certification paperwork is completed and routed to appropriate regulatory bodies, in conjunction with the GVSU Registrar's Office. Fields questions from students regarding the Michigan RN licensure process and helps to trouble-shoot the application process, working with the MI BON to ensure that each student becomes deemed eligible for licensure. This involves preparing Michigan Certificates of Education which verify BSN degrees upon student graduation from our pre-licensure programs.

  • Assist with the preparation and distribution of KCON Baccalaureate program handbook.

  • Coordinate, compile, and analyze data for surveys and confidential reports using the appropriate systems and processes.

  • Provide support to Undergraduate Academic Affairs Committee and Undergraduate Clinical Coordinators, including preparation and distribution of meeting minutes, agendas, and correspondence.

  • May train, supervise, and/or evaluate performance for student workers assigned to area of responsibility.

  • Ensure support coverage for all Academic Affairs activities.

  • Share responsibility with other PSS to cover the KCON main office as needed.

  • Other duties as assigned.

Non-Essential Functions:

  • Make travel arrangements for staff.

Required Qualifications:

  • High school graduate or equivalent.

  • Minimum of four years of relevant work experience.

  • Demonstrated administrative and organizational skills.

  • Experience with various computer software applications such as Microsoft Office and/or equivalent.

  • Data entry experience.

  • Typing and spelling competency with grammar and proofreading skills.

  • Possess strong verbal and written communication skills.

  • Demonstrated experience to successfully provide quality customer service.

  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.

  • Demonstrated experience to successfully coordinate large projects.

  • Demonstrated experience to successfully handle multiple demands efficiently.

Preferred Qualifications:

  • Bachelor's degree.

  • Higher education experience.

  • Supervisory experience.

Supervision Received:

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised:

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.

Salary: C-4 Level. Minimum starting salary of $21.40
