Position Title: TRIO Upward Bound Summer Program Coordinator
Department: TRIO Upward Bound
Reports To: Director of TRIO Upward Bound
Classification: Exempt
FTE: May 28
Essential Job Duties:
1.Leadership
Provide and delegate clerical, word processing, and filing duties
Maintain inventory of administrative/program equipment, supplies, and tokens
Maintain and manage database (StudentAccess) for summer participants
Maintain and manage stipends for summer participants
Print up-to-date student rosters, attendance sheets, service logs and summaries, and other rosters as requested
Provide office support and perform related duties, as assigned
Set up summer mailings and coordinate delivery and pick-up of all mailing
Create, update, and file student folders
2.Collaboration
Assist program staff with compiling and entering data and other documentation
Assist the Director with campus room reservations and bus orders
Assist the Director with other documents/tasks, as requested
Maintain relationships with faculty, staff, community, and government agencies
Participate in the facilitation of UB summer staff training
Assist with Advisors'/Directors' needs and requests
Assist with revisions, updates, and collection of summer forms
Participate in recreational, program, and cultural activities, when required
3.Supervision
Provide supervision for undergraduate office assistants
Ensure that student time cards are accurately completed
4.Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
5.Complete and meet deadlines for required training and performance management cycle
6.Perform other duties as assigned
Work Schedule:
Term: Temporary, May 28th
Shift: During the academic summer program, the standard 40-hour work schedule is Monday
Friday, 8:00 am
4:00 pm; extra hours may be required for this position
Required Qualifications:
Education: High School diploma; maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record
Experience: 1+ years of administrative experience
Preferred Qualifications:
Education: Technical or college degree
Experience: 3+ years of administrative experience, preferably in a college/academic setting with a diverse student body; personal background/familiarity with students with similar backgrounds to those in TRIO (ex. low-income, first-generation in their families to obtain a college degree); previous supervision experience
Prerequisites:
Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
