Under the direct supervision of the TRIO SSS Director, the TRIO SSS Administrative Assistant provides administrative support for the TRIO Student Support Services Program.Requirements:Duties and Responsibilities:
Serve as the TRIO SSS Administrative Assistant by performing administrative support duties for the TRIO Student Support Services Program throughout the academic year while exercising judgement and tact.
Provide assistance and quality customer service to TRIO SSS Participants and visitors including the ascertainment of facts, as well as provision of information.
Support the TRIO SSS Program through efficient completion of daily and project-based office duties, as assigned, as well as support the management and organization of the TRIO SSS filing system, records, and data entry.
Support the maintenance and proper storage of confidential FERPA-compliant program files on all TRIO SSS Participants, activities, and services provided.
Support the TRIO SSS Director and coordinate office tasks as assigned by the TRIO SSS Director; provide other support, as needed.
Ensure office efficiency; assist in maintaining budget records; maintain inventory of project supplies; schedule and organize appointments; process correspondence; type reports, minutes, and program related materials.
Review completed work in accordance with programmatic and university policy, procedures, prescribed format, and content.
Maintain good rapport with students and Eastern New Mexico personnel.
Participate in committees, councils, and professional development activities, as assigned.
Regular and predictable attendance required.
Perform other duties as assigned.
Minimum Job Requirements:
HS Diploma and at least 6 months of directly related experience. Experience in office procedures and competence in applicable computer applications, including Microsoft Office applications, is required. Strong communication and organizational skills are required. Sensitivity to the needs of economically disadvantaged students is required. Strong background in accounting is preferred. Experience with TRIO programs is preferred. Background similar to participants' is preferred.
Knowledge, Skills and Abilities:
Working knowledge of the practices, procedures, and activities necessary for office efficiency.
Ability to deal effectively with a variety of individuals and to communicate effectively both orally and in writing.
Skilled in the use of standard office equipment: Computer, Copier, Scanner, etc.
Excellent organizational and communication skills and ability to relate to students.
