Position Title: TRIO Educational Talent Search Administrative Assistant
Department: TRIO Educational Talent Search
Reports To: Director of TRIO Educational Talent Search
Classification: Non-Exempt
FTE: .60
Salary: $18.80 - $20.60
Essential Job Duties:
1.Office & Data Management
Provide and delegate clerical, word processing, and filing duties
Maintain inventory of administrative/program equipment; order and purchase office supplies
Maintain database with completion of Annual Performance Report and ensuring that the program complies with the program's yearly objectives
Assist the Director with monitoring monthly expenditures and managing the budget
2.Administrative Assistance
Produce newsletters and mailings
Maintain/update the department web page and online presence
Assist the ETS team & Director with coordinating site visits and monitoring activities
Coordinate with the Mentor Coordinator in planning yearly mentoring and mentoring field trips
Coordinate tutor recruitment, training, placement, evaluation, and transportation
Provide up-to-date student rosters, services logs and summaries, performance report data sheets, and other data as requested
3.Supervision
Recruit, interview, hire, train, and supervise undergraduate office assistants & Tutors
Ensure that student worker time cards are accurately completed promptly
Maintain student schedules and project assignments
4.Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
5.Complete and meet deadlines for required training and performance management cycle
6.Perform other duties as assigned
Work Schedule:
Term: Year-round; position is grant funded, continuation of position is contingent upon renewal of funding
Shift: 25 hours Monday
Friday per week during September
May, 20 hours Monday
Thursday per week during June
August, travel up to 2% of work schedule, which includes local (Twin Cities metro area) and national travel; overnight trips average 2-3 nights per year
Required Qualifications:
Education: High School diploma; maintain a valid driver's license and meet St Olaf College driver authorization criteria with satisfactory driving record
Experience: 1+ year of administrative experience
Preferred Qualifications:
Education: Technical or college degree
Experience: 3+ years of experience, preferably in a college/academic setting with a diverse student body; personal background/familiarity with students with similar backgrounds to those in TRIO (ex. low-income, first generation in their families to obtain a college degree); previous supervision experience
Prerequisites:
Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical.
