Transportation Maintenance Clerk

Primpary Purpose:

Performs routine clerical duties under direct supervision, as assigned by the Transportation Department, to ensure the efficient operation of the shop.

Education / Certification:

• High School Diploma or GED.

Special Knowledge / Skills:

• Proficient skills in typing, word processing, access, spreadsheets, and file

• Effective communication and interpersonal

• Good organizational

• Experience with the following programs is preferred; Infofinder I, Infofinder LE, Docuware, Skyward - purchasing database, Fleetnet Pro, Maintenance Direct, Dossier, Time Clock Manager, Adobe Pro, Microsoft Office, and GPS

Experience / Other Requirements:

• A minimum of 6 months related office/clerical experience is

• Experience with auto/truck parts, descriptions, inventory, and audits preferred.

Major Responsibilities and Duties:

• Schedules preventive maintenance for district vehicles (white fleet).

• Works cooperatively with the purchasing department to submit and close requisitions.

• Responsible for ensuring accounts are paid within due dates for shop invoices.

• Detects and resolves problems with incorrect orders, invoices, and shipments.

• Maintains records for all vendor accounts.

• Maintains electronic and paper files for the shop.

• Enters maintenance-related data into the system daily as needed. Verifies the information entered by mechanics.

• Assists Shop Supervisor by reviewing maintenance staff time cards for missed punches and notifies Supervisor where corrections are required.

• Produces productivity and usage reports for Shop Supervisor and Director..
