Position Summary:
This position performs a wide variety of critical and essential communications and customer service duties, including posting daily route communications to parents, schools, and specified district personnel. Maintaining the department's webpages, receiving emergency and non-emergency transportation calls for assistance, and notifying appropriate school personnel. Addressing and reporting immediate transportation challenges such as bus breakdowns, service issues, trip issues, driver issues, and parent/community concerns either by phone or radio.
Essential Functions:
Opens and closes dispatch office
Communicates route assignments, emergencies, accidents, breakdowns, or any other events that will disrupt service to the schools, parents, and appropriate district personnel.
Handles customer complaints, takes reports of late buses, breakdowns, accidents, and reports to proper individuals to prevent interruption of service.
Logs complaints and incidents
Coordinates with school officials to ensure safe, efficient, and timely pupil transportation services
Develop letter templates or forms for the department usage.
Informs manager of any situations that may be (or may become) problem areas and affect the daily operations.
Write and ensure timely submissions of all the department's Board Resolutions and vendors' performance to the Board.
Maintains or ensures that a master list of all routes and trips is maintained, including information needed to describe the route and its parts (contract, program, school, map, assigned vehicle, list of passengers with addresses and telephone numbers, assigned buses, and assigned drivers)
Coordinates emergency response network when there is a problem on a route
Submits required reports and paperwork to the transportation manager in a timely fashion
Report all major problems and irregularities to the transportation manager
Encourages compliance with district policies and processes
Discusses any breach of policy and procedure with the supervisor
Knowledge, Skills, and Abilities:
Ability to work overtime, weekends early, or late hours, if necessary
Interpersonal skills necessary to handle high-stress volumes of calls
Ability to multi-task by listening to radio transmissions, answering telephones observing GPS, and using complaint software simultaneously
Ability to speak clearly to communicate.
Ability to operate a personal computer and Microsoft Office products to include Word and Excel required. Must have a detailed understanding of transportation algorithms.
Must be able to handle frequent interruptions and deadlines to include changes in schedules due to special student activities including early dismissal, etc. Ability to sit or stand for long periods. Ability to reach, bend, and stoop
Excellent communication skills necessary to positively interact with the students and staff members
Ability to maintain a professional appearance and possess a calm and respectful demeanor when interacting with students, parents, and school personnel
Experience:
Two (2) years of call center customer service experience
Must be at least 21 years of age
Education:
High School Diploma, or GED. College degree preferred
Proficiency in Spanish is a plus
Physical Requirements:
Must be able to exert up to 10 pounds of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, and pull or otherwise move objects, including the human body
Clarity of vision at 20 feet or more and 20 inches or less, bring objects into sharp focus and see up and down or to the right or left while fixed on a point
Must possess a valid driver's license
Must be physically able to operate a motor vehicle
Working Conditions and Environment
Work is routinely performed in a typical interior/office environment
Very limited or no exposure to physical risk
