Job Description:

The Transplant Assistant facilitates effective clinic organization and patient care by serving as a communication link between the patients, staff, physicians, hospital departments or other outside health care entities. Ensures compliance to CMS requirements for communication to families and donors. Develops and maintains systems for data management to meet requirements and for reporting to internal and external consumers of the information. Performs a broad range of responsibilities including: receptionist, scheduler, patient registration, chart acquisition, telephone triage, prior authorization liaison, and assistance in securing insurance authorizations. Must use critical thinking and problem solving skills and provide backup assistance as necessary to carry out daily operations.

About This Position

Clinic Responsibilities

  • Ensures effective and efficient clinic flow. Coordinates clinic schedule by effectively scheduling appointments, collaborating with team members to maintain appropriate clinic load, and appropriately accommodating special needs. Identifies need and resources to accommodate expanded clinic time as necessary. Ensures effective appointment confirmation process.

On-Call Scheduling

  • Responsible for entry and maintenance of on-call schedule for staff and surgeons.

Records/Charts

  • Establishes and maintains complete, accurate and timely medical records and other program documents in accordance with hospital, departmental, legal, and professional requirements.

Reporting

  • Develops and maintains systems for data management to meet requirements. Ensures accurate data entry for reporting to internal and external consumers of the information. Prepares quarterly QAPI reports to CMS, as well as, weekly selection meeting reports. Care process reporting to ensure patient care values including labs, test results and care steps are available to Nurse Coordinators and LIPs.

Patient Contact

  • May perform patient care duties including vital signs, heights, and weights within scope of licensure/certification. Provides phone triage for all incoming calls. Arranges patient schedules for evaluation for transplant and other procedures.

Correspondence

  • Creates correspondence to families, insurance providers, and other within requested timeframe and develops other program documents as required. Ensures compliance to CMS requirements for communication to families and donors.

Compliance/Quality

  • Ensures compliance with departmental, clinic and corporate policies, procedures and best practices. Identifies and appropriately manages compliance with regulations mandated by various federal, state or accrediting agencies. Identifies and implements best practices to ensure effective and efficient program operation.

Safety

  • Demonstrates focus on safety, adhering to all applicable safety standards including the National Patient Safety Goals and is pro-active in identifying and correcting unsafe practices and conditions.

Physician Relations

  • Demonstrates the ability to communicate effectively and work collaboratively with physician(s). Utilizes chain of command appropriately.

Supplies

  • Maintains an adequate inventory of supplies, office supplies, patient education materials and equipment to meet clinic requirements.

Community Stewardship/Education

  • Understands and actively engages in their assigned role for a disaster response. Is flexible with work schedule and assignments to support patient care service needs. May also participate and manage community functions and/or educational activities.

Communication/Authorization

  • Assists with insurance prior authorization for procedures/transplants/medications with payers, receiving and prioritizing requests and sending clinical information for authorization of services. Provides triage for all incoming calls.

Minimum Qualifications

  • If working at Primary Children's, you will need either a Certified Nurse Assistant (CNA) or Medical Assistant (MA).

If working at Primary Children's, you will need a Basic Life Support Certification (BLS) for healthcare providers.

Two years staff or customer service leadership experience utilizing computer skills including word processing, spreadsheet applications, email, appointment scheduling, registration, billing, and electronic medical records.

Demonstrated effective interpersonal and communication skills.

  • and -

Demonstrated ability to organize, coordinate, prioritize and work independently on projects.

  • and -

Demonstrated general office skills (i.e. typing, faxing, and filing).

Preferred Qualifications

  • College course related to healthcare, business, and/or computer/information systems.

Medical Assistant certification.

Medical Terminology experience.

  • and -

Leadership experience (i.e. providing training to others in their job duties, coordinator the work of others, coordinating projects, acting as a team lead

  • and -

Experience in a Transplant Assistant or similar health care role including: scheduling, reception, medical records, filing, prior authorization and insurance authorization, Medical Terminology and telephone triage.

  • and -

Spanish speaking/interpreter skills.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.
