Summary:

The System Administrator works with management and is responsible for overseeing the daily operations and activities of Transcription, and working closely with our vendor, MModal, which our transcription services are contracted out to. This position requires a flexible work schedule to meet Transcription needs. Primary patient contact is only social.

The System Administrator demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.

Responsibilities:

Contributes to organization success targets for net operating margin.

Has social contact with patients, primarily adult, and is able to appropriately assess, care for and treat them according to the guidelines as defined by Covenant HealthCare.

Promotes positive customer and employee relations by projecting a favorable corporate image through professional, courteous and effective interactions with customers, staff and physicians.

Practices effective problem identification and resolution skills as a method of sound decision making.

Integral in adding providers to MModal Fluency Manager, Fluency Voice, and Fluency Administration Consule to allow for dictation and speech recognition setup.

Acts as a resource/contact person for Transcription issues. Assist physicians, residents, PA's, NP's, HIM Department, etc. with any transcription concern.

Provides and/or assists in ongoing training, education and support to all employees, providers, etc. utilizing MModal's dictation system platform and MModal Fluency Direct. In addition, supports other departments (Pathology) or organizations (CMU).

Provides monthly transcription statistics to finance and also invoices physician offices for lines typed for the month.

Responsible for testing new software or new versions prior to rolling out to end users.

Works closely with IT to resolve computer issues involving transcription software, i.e. MModal Fluency Direct.

Formulates and or reviews policies and procedures.

Provides feedback and monitors contracted transcription vendor for quality. Ensures quality is upheld as per contract.

Monitors turnaround time of work types to make sure TAT is met as per contract.

Assists with payroll.

Ability to flex work schedule in order to meet department needs.

Assists manager as the liaison between Transcription all other customers (physicians, transcription vendor, etc.)

Recognizes, investigates, and solves routine and complex transcription problems. May seek assistance from the Transcription Manager with difficult situations.

Assists in maintaining compliance and other regulatory standards.

Programs, installs, and trains users on C2 phones.

Oversees C2 phone repairs through MModal.

Maintains professional growth and development through continuing education, conferences and seminars.

Performs other duties as assigned.

Other information:

EDUCATION/EXPERIENCE

Associate's Degree in health information and/or computer science required.

Bachelor's Degree preferred.

CMT, RHI or RHIA preferred.

Medical terminology course.

Types at least 40 words per minute.

Minimum 5 years medical transcription experience required.

KNOWLEDGE/SKILLS/ABILITIES

Knowledge of transcription procedures and software.

Working knowledge of and experience in hospital-wide computer systems, transcription software, dictation system(s) and strong computer skills

Computer competency, including Microsoft Office, Lotus Notes, MModal Platform (Fluency for Transcription, Fluency Direct, and Fluency for Imaging), and Epic.

Knowledge of standard office equipment.

Excellent oral and written communication skills.

Demonstrated organizational skills.

Sound judgement in handling confidential or sensitive issues and material.

Ability to work under stressful situations.

Excellent time management, to achieve maximum productivity.

Ability to prioritize workload and complete tasks on time.

Must be independent and self-motivated with a sound ability to reason and solve problems.

WORKING CONDITIONS/PHYSICAL DEMANDS

Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

Frequent standing, walking, sitting, twisting, reaching, handling, fingering, feeling, talking and hearing.

Frequent depth perception, near, midrange and far vision.

Frequent color and field of vision.

Occasional lifting 0-25 lbs.

Occasional carrying, pushing, pulling, climbing, balancing, stooping, kneeling, crouching and squatting.
