Job Title Transcript and Records Analyst for OPS Posting Number S813P Classification Title

Summary

Analyzes transcripts and transfer credit for student entry and enrollment in the University. Reviews and responds to individual academic requests and concerns regarding transcript evaluation. Assists with graduation processing and provides customer service related to academic record and graduation requests.

Essential Duties and Responsibilities

Other duties may be assigned.

1.Perform review of transcripts for evaluation of transfer work and applicability of academic credit.

2.Evaluate military credit, college level exam scores and advanced placement for academic credit.

3.Evaluate course transfer approval requests for academic credit eligibility.

4.Provide assistance with entry of transfer work and variances on student transcripts.

5.Create and maintain transfer course equivalencies, including agreements with community colleges.

6.Aid in enrollment support, including admissions decisions, preliminary degree reviews, and new student processing.

7.Process student-initiated and administrative withdrawals.

8.Assist with processing readmits and program transfer petitions.

9.Maintain student records and enrollment for probation/suspension, non-attendance, financial clearance, and ceased-attending.



  1. Provide assistance with graduation applications, degree evaluations, and degree posting.

  2. Assist with researching, addressing, and responding to student concerns and requests.

  3. Reflect excellent customer service in internal and external communications and notifications.


Supervisory Responsibilities

This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

Skill in the use of personal computers and related software applications.

Ability to make administrative, and procedural decisions and judgments on sensitive, confidential issues.

A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices.

Ability to read and write at a level appropriate to the duties of the position.

Ability to gather data, compile information, and prepare reports.

Strong interpersonal and communication skills, and the ability to work effectively with a diverse faculty, staff and student body.

Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.

Strong organizational skills and detail oriented.

Ability to maintain confidentiality.

Excellent telephone courtesy, knowledge and experience.

Ability to coordinate and organize meetings and/or special events.

Ability to interpret, adapt, and apply guidelines and procedures.

Ability to create, compose, and edit written materials.

Ability to develop and maintain recordkeeping systems and procedures.

Ability to resolve customer complaints and concerns.

Ability to investigate and analyze information and to draw conclusions.

Education and/or Experience

Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.

Process course schedule adjustments, including creation of new courses, cancelations, course balancing, and enrollment monitoring. 3. Assist with enrollment verifications, letter requests, and deferment verifications. 4. Perform review of transcripts for evaluation of transfer work and applicability of academic credit, and assist with entry of transfer work and variances on student transcripts. 5. Aid in enrollment support, including admissions decisions, preliminary degree reviews, and new student processing. 6. Provide assistance with readmit request processing and program transfer petitions. 7. Process student-initiated and administrative withdrawals. 8. Process graduation applications and degree evaluations to determine graduation eligibility. 9. Update student records to support the graduation fee billing process. 10. Post completed degrees and applicable graduation honors. 11. Assist with the processing and verification of diploma ordering and distribution. 12.
