Title Specialist I

In compliance with company policies and procedures, Title Specialist I will handle and distribute all email and mail communication for the Title Department and update and maintain excel spreadsheets for pending title work and lien perfection. This position will handle all administrative duties for the Title Department including scanning, copying, and organizing lien and title paperwork. The Title Specialist I will handle active accounts and work them for title and UCC perfections, along with title and contract corrections.

Essential Functions

  • Handle and/or distribute all mail and email communications that come to the Title Department.

  • Scan, Copy and File lien paperwork for the Title Department.

  • Greets customers and dealers by phone in a timely, friendly, and professional manner.

  • Accurately locate and note accounts or applications in relation to title or lien information.

  • Maintain current knowledge on state/county title and UCC perfection requirements.

  • Update and maintain spreadsheet on all title work that is pending.

  • Make calls to dealers, state titling offices, and customers to gain information on status of title and lien placement.

  • Track and send out buy back and out of state title letters to dealerships.

  • Track and file all UCC-1 recordings with state for required accounts.

Required Education and Experience

  • High School Diploma or GED equivalent.

  • Previous office experience preferred, but not required.

  • No Certification or License Required

  • Ability to communicate effectively and professionally with customers and employees both written and verbally.

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions of customer requirements. Ability to interpret a variety of technical instructions and deal with several abstract and concrete variables.

  • Ability to use a computer, fax or telephone application to manage large amounts of information, including creating and editing simple databases, systems, and software by inputting data, retrieving specific documents, and creating reports to communicate information.

  • Must be detail oriented.

  • Must be proficient in Microsoft Word and Excel.

  • Must be able to work well independently using time management to complete daily duties.

  • Must be able to enter data with minimal errors.

  • Proficient in the utilization of Microsoft Office Suite

  • Attention to detail and accuracy required.

  • Excellent verbal and written communication skills required.

Physical Demands

While performing the duties of this job, the employee is frequently required to sit, stand, walk, visualize, talk, hear, and handle or touch objects or controls. The employee may occasionally lift, push, or pull up to 20 pounds.

This position is an office-based position where you must be able to sit for long periods of time. The employee will be working on a computer 90% of the time.
