Position Summary:

At the Long Island State Veterans Home, our Therapeutic Recreation Staff Assistant is responsible for providing administrative services for the Department of Therapeutic Recreation. The incumbent will act independently as a liaison between the Therapeutic Recreation Department and the community, establishing effective collaboration and connections.

Duties of a Therapeutic Recreation Staff Assistant may include the following but are not limited to:

  • Responsible for maintaining workflow in an efficient manner.

  • Resolves routine administrative issues and uses best judgment to refer issues of a more complex nature to the appropriate staff member.

  • Sets and develops priorities for efficient and timely completion of projects for the Therapeutic Recreation staff.

  • Must have the ability to multitask several ongoing projects and schedules in fast-paced environment.

  • Coordinates and analyzes both inter- and intra-departmental flow of information.

  • Schedules, coordinates and prepares necessary documentation for departmental staff appointments and meetings.

  • Performs assignments and other projects for the Therapeutic Recreation staff in a timely manner. This includes writing letters, processing reports, preparing agendas, spreadsheets, forms, flyers, faxing, etc. and other documents relevant to the department.

  • Maintains bulletin boards throughout the facility with accurate flyers, announcements, event postings, etc.

  • Orders and maintains the appropriate inventory of supplies and assures they are available for specific programs.

  • Works independently, initiating and performing specific tasks and special projects as needed.

  • Responsible for maintaining Policy and Procedure Manual and ensures that it is up to date.

  • Responsible for organization and maintenance of office files including staff departmental files and all regulatory requirements.

  • Responsible for maintaining accurate and detailed departmental reports. Ensures that they are in an organized retrieval manner.

  • Responsible for the distribution and handling of all incoming and outgoing correspondence.

  • Ensures that any interaction with residents, family members, guests and other employees are handled appropriately and respectfully.

  • Responsible for being a liaison between the Therapeutic Recreation Department and the community. Responsible for gathering information and building rapport with the community. Responsible for the coordination and scheduling of community members for specific visits/events. Maintains close communication with the Director regarding these events/visits.

  • Required to have a working knowledge of computer programs in order to accomplish the following tasks:

  • Inputs data into the Touch computer system, updating and making changes as necessary.

  • Responsible for distributing copies of facility recreational calendars.

  • Responsible for creating databases to track visitations, contact information, donations, expenses, etc.

  • Responsible for creating new departmental forms as needed.

  • Responsible for input and maintenance of computerized statistical departmental data.

  • Other administrative duties as assigned.

May be exposed to and be required to handle varying unpredictable, emergency and crisis situations. Occasionally subjected to irregular hours and pressure due to multiple calls and inquiries, as well as weather related situations.

Qualifications

Required Qualifications:

Associate's Degree, preferably in Business Administration, Management, Public Administration or related field. In lieu of degree, four (4) years of administrative experience. Two years' experience in a high volume office. Excellent written and verbal communication. Advanced computer skills. Proficiency in Microsoft Excel and other Microsoft Office programs. Ability to multitask in a fast-paced environment.

Essential Position: This position has been designated as an essential position based on the duties of the job and the functions performed. This means that when the Long Island State Veterans Home is faced with an emergency, employees in such positions are required to remain at their work location or to report to work.

The LISVH is a 24/7 skilled nursing facility. As such, all positions are subject to changes in pass days and shifts as necessary to meet the operating needs of the facility.

The selected candidate must successfully clear a background investigation. Prior to start date, the selected candidate must meet the following requirements: Successfully complete pre-employment physical examination and obtain medical clearance from the Long Island State Veterans Home Employee Health Department, clear a background investigation, submit three (3) written references, and provide a copy of the required license(s)/certificate(s). Please be advised that failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
