Job Description

Position Summary

Brookfield Properties has an immediate need for a Tenant Coordinator based in Chicago or Maryland.

Our retail group operates destination, standalone retail real estate globally, including over 150 malls in the United States. Our regional shopping centers create a sense of place in the heart of the communities in which we do business: offering retail, lifestyle, dining and entertainment options.

The Tenant Coordinator is responsible for tracking and encouraging the tenant progression through the TC process: tenant plan review, tenant build-out projects and successful tenant openings. The tenant coordinator must ensure that the tenant coordination guidelines are adhered. In addition, this position will ensure that the tenant plan submittal represents the optimum prototype design & materials that will complement the aesthetics for the shopping center. This position interacts with Department Staff, Center Management, Leasing, Law/Leasing, Tenants, Tenant Allowance Administration, Asset Management, Development, Architects, Owners, General Contractors, Permit Expeditors, and Project Consultants.

Responsibilities

  • Manage and track the tenant design/construction progress from time of mutual deal approval through opening, focusing on early store openings, including but not limited to plan submission/approvals, permitting, construction, and opening for all assigned properties.

  • Accurately maintain Salesforce for all assigned properties such that the current tenant project status is accessible companywide.

  • Work with Leasing, Business Development and Property Management as early as the LOI stage on any landlord work scope necessary for the individual deal from defining the scope, budgeting costs and determining existing conditions.

  • Electronically review and approve tenant plan submission and documents for compliance with Landlord criteria, focusing on improving the design standards of tenant stores and the overall aesthetic of the properties.

  • Project Manager the Landlord work with Property Management, including budgeting, estimating, development of plans, permitting, bidding, preparation of contracts/work orders and schedule oversight to ensure an on time or early turnover to tenant.

  • Work with Property Management, Business Development and Leasing to insure previous tenant has vacated in a timely fashion to aid in the on time or early turnover of the Lease Premises to the tenant.

  • Participate in leasing/legal/tenant coordination conference call to ensure tenant issues are clearly communicated.

  • Schedule and host weekly calls with property teams to coordinate all retail/food/kiosk tenants for assigned properties.

  • Maintain communication with key internal groups such as, Leasing and Property Management ensuring tenant issues are resolved and tenant build-outs are built according to approved plans.

  • Review and negotiate design/construction lease exhibits with tenants in conjunction with Law/Leasing team.

  • Assist in generating and maintaining comprehensive Property Design Criteria Manuals.

  • Responsible for ensuring the accuracy of lease plans and lease outline drawing, provide guidance to CAD Specialists regarding the accuracy of these documents.

  • Site visits required for assigned centers a minimum of once every 18 months or as further determined by your manager.

  • Create project budgets and contracts in Proliance for all Landlord work associated with assigned tenant deals and facilitate all contracts for Landlord work associated with any office deals at assigned properties.

  • Interact with the local city or county contacts as necessary for redevelopment projects as assigned.

  • Adhere to the Tenant Buildout Commitment and payments process to insure compliance with internal audit procedure.

  • Other duties as assigned.

Qualifications

  • Ability to deal with multiple tasks effectively and establish priorities

  • Proactive and results oriented

  • Works independently and is a self-starter

  • Ability to negotiate and communicate to all levels inside and outside the organization

  • Proficient in Adobe Acrobat DC and/or Bluebeam, Salesforce, Microsoft Office programs (Word, Outlook, Excel, PowerPoint, Teams, etc) and Proliance

  • Knowledge of National Building Codes, building materials and systems, such as MEP and life safety preferred

  • Minimum of 3 years of Tenant Coordination, retail design/construction and/or project management experience required

  • High School Diploma or GED required

  • Bachelor's Degree or equivalent work experience required (Bachelor's Degree in Architecture, Interior Design, Engineering, or Construction Management preferred)
