ABOUT THE POSITION

The County of Riverside's Human Resources Temporary Assignment Program (TAP)seeks to fill aTemporary Supervisor's Board Assistant positionto support the Board of Supervisors.This is afull-time, temporaryposition located in Riverside.

Incumbents will perform the full range of clerical and secretarial duties, from trainee to advanced level secretarial, social media management, marketing, and field representative responsibilities in the Board of Supervisors' Office and the Clerk of the Board's Office. Assignments are rotated frequently and require staff to be knowledgeable in county government's functions, services and operations so they can respond effectively to various inquiries. Incumbents are required to deal with sensitive and confidential information properly and must exercise the highest level of judgment and tact.

Competitive candidates will have experience in social media management, strong writing skills, and experience in marketing and customer service, and have worked in a confidential environment.

Schedule: Monday

  • Friday 8am

  • 5pm with occasional weekends and evenings.

This class has been designated At-Will by the Board of Supervisors, in accordance with the provisions provided under Article 6, Section 601E (3) of the County Management Resolution and serves at the pleasure of the individual Supervisor.

EXAMPLES OF ESSENTIAL DUTIES

  • Answer telephone and public counter inquiries pertaining to Board meetings and activities.

  • Receive and screen a variety of visitors and telephone callers; ensure that inquiries are promptly answered or referred to appropriate sources; answer questions involving searching for and summarizing technical data, laws, policies, or procedures.

  • Answer routine, difficult and hard-to-handle inquiries from all County departments and agencies and the public regarding the County.

  • Provide information to the public or interdepartmental representatives in situations where judgment and interpretation of departmental policies and regulations are required; gathers and summarize data on a wide range of subjects requiring knowledge of the functions, services and operations of County departments.

  • Design or revise office forms; perform complex clerical work requiring the application of laws, policies, procedures, and specialized terminology; prepare and process materials which require the review of complex source material and a thorough familiarity with policies, procedures, terminology, and various applicable laws in order to obtain the necessary data.

  • Establish and maintain complex filing systems of confidential and administrative materials.

  • Screen incoming correspondence and follow up to ensure that deadlines are met; arrange correspondence for the Supervisor's personal reply in order of priority with appropriate background material attached for reference.

  • Initiate replies to routine correspondence; compose correspondence and other materials requiring the application of subject matter knowledge and discrimination in the selection of data.

  • Independently compose correspondence for a Supervisor's signature; arrange meetings for one or more Supervisors and/or staff and ensure that notifications are made, agenda prepared and distributed, and location is reserved.

  • May attend meetings and conferences to assist the Supervisor in the presentation and gathering of information; make travel arrangements and lodging reservations.

  • Maintain time and expense records and submit claims and time reports; relieve the Supervisor of routine office details; may take and transcribe difficult dictation in proper format.

MINIMUM QUALIFICATIONS

The minimum qualifications, skills, knowledge, and abilities are determined by the appropriate member of the Board of Supervisors, but typically include:

Education: Graduation from high school or attainment of a satisfactory score on a G.E.D. test.

Experience: Two years of clerical experience, at least one year of which included preparing meeting agendas and the recording of actions and proceedings for a board of directors, commission, council, or other similar body. The non-specialized experience may be substituted for by either completion of:

18 semester or 27 quarter units from an accredited college or university in secretarial sciences, office practices, business education, or a closely related field.

OR

360 hours of training from an accredited occupational training program in secretarial sciences, business education, or a closely related field.

Knowledge of: Office practices and procedures followed to process a variety of documents and provide clerical support to the Board of Supervisors and Clerk of the Board; methods, procedures and filing systems used to record, store and retrieve Resolutions and other records of Board actions; clerical routines used to receive construction bids, process sale of school bonds, publish and set up hearing dates pertaining to activities of special districts; modern office procedures including preparing correspondence, legal notices and bid invitations.

Ability to: Compose Board of Supervisor minutes and summaries that accurately interpret actions and Board intent; compose clear and concise letters; meet the public and answer less difficult questions pertaining to Board of Supervisor procedures or status.
