Position Summary

Under the supervision of Regional Manager, performs and coordinates weekly work schedule, dispatches labor force and a variety of daily operations administrative duties. Also performs routine accounting tasks and clerical duties with the Company's Accounting Department, which includes accounts payable and accounts receivables.

Essential Duties

Performs and coordinates weekly work schedules, variety of daily operations, administrative, accounting duties.

Prioritizing and managing multiple projects simultaneously and following through on issues in a timely manner.

Coordinate with Project Manager to schedule site assessments and maintain updated portal schedules and tracking instruments.

Reconcile receipts against credit card statements, entering expense reports into expense management system (Concur)

Perform all general administrative functions.

Performs periodic inventory of office supplies, order materials as needed.

Performs project invoicing using People Soft accounting system, insuring accuracy of final invoice, account codes and financial amounts.

Perform accounts receivable functions, contacting customers with delinquent payments.

Opens new jobs using People Soft accounting system.

Works with and takes direction from the Regional Manager.

Responds in a professional, polite, and helpful manner when dealing with other staff and customers.

Perform other duties as assigned.

Minimum Requirements

High School Diploma or GED is required.

Five or more years of experience in the service industry in various operations support, accounting, administrative and office management roles.

Experience with PeopleSoft systems is a plus.

Excellent written and verbal communication skills.

Experience using Microsoft Word, Project, Excel and Access.

VIEW JOBS 4/9/2019 12:00:00 AM 2019-07-08T00:00 Healogics is hiring for a Front Office Coordinator/Administrative Assistant for Hollcrest Hospital, Pryor Oklahoma Job Summary: The Front Office Coordinator manages a variety of front office functions and is key to smooth operation of a dynamic outpatient wound care center as well as performs general office duties to assist the staff of the WCC. All Healogics employees should perform their job responsibilities according to Healogics clinical and employee policies, and Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable. Essential Functions/Responsibilities: Coordinates with Center leadership to maximize daily patient census. Actively participates in staff meetings to support key functions within the Center. Greets patients and other visitors, answers and routes calls to appropriate staff. Maintains all patient communication needs including scheduling, rescheduling, and appointment reminders. Also works and schedules for provider, according to the care continuum model. Obtains and verifies patient insurance information, to include pre-certifications and pre-authorizations for services and enters data in appropriate databases. Collects and enters patient charges in databases. Verifies and reconciles charges as directed, prepares monthly patient survey data and appropriate documentation, then transmits to providers. Assembles new patient charts, maintains and files existing patient charts, and spot checks charts for data completeness and signatures. Coordinates/schedules ancillary testing with other hospital departments. Arranges for patient transportation as needed. Maintains office equipment and supplies as needed, and medical supplies as directed. Performs other duties as required.
