We are seeking an Office Assistant to:

  • Provide clerical support to an area or department.

  • Answer multi-line telephone, assist callers, greet and direct visitors.

  • Assist with scanning, filing, mailing, and printing documents.

  • Schedule meetings as requested.

  • Prepare form letters and correspondence. Performs basic data entry into applicable systems.

  • Order supplies, materials, services, and/or equipment.

  • Provides backup clerical support to other roles during absences or periods of high workloads in the department.

  • Perform other duties as assigned.



  • High School Diploma or equivalent

Work Experience:


  • One (1) year of experience in an administrative support role

Required Skills, Knowledge, and Abilities:

  • Excellent verbal and written communication skills

  • Knowledge of Microsoft Office programs

  • Ability to present oneself in a professional manner

  • Excellent organizational skills

  • Ability to work independently and to prioritize workload to complete projects with minimal supervision

Physical Requirements:

Sedentary: Ability to lift up to 10 pounds maximum and occasionally lifting and/or carrying such articles as dockets, ledgers and small tools. Although a sedentary job is defined as one, which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required only occasionally and other sedentary criteria are met.

Work Schedule:
20% FTE, 16 hours per week. Flexible shifts during business hours Monday

  • Friday. No weekends or holidays. Hours may vary based on the needs of the department.

This includes institutional-wide scheduling; position control; ensuring compliance with all Department and Institute policy requirements; orientation of float pool staff; coordination and determination of priorities for using department office paraprofessional staff including scheduling of Nursing Office Driver staff and coordination of medical appointments for patients; and provides a pivotal communication role between unit management, program nursing supervisors and nursing office supervisors. This position provides administrative support to the Director and Deputy Director of Nursing. This position is responsible for complex and essential data collection, records management, hiring coordination for health care staff, timekeeping, staff scheduling for 15 units, and program support services for the Director of Nursing. Special Notes: Due to the nature of these positions, all applicants will be required to allow the Department of Health Services to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled. All appointees will be required to receive a TB test, which will be administered by MMHI or medical personnel approved by the facility prior to their start date. Qualifications: Minimally qualified candidates will have: * Experience providing administrative support including emailing and typing correspondence, responding to inquiries, record keeping, and/or assisting with updating procedures. * Experience entering information into a database or spreadsheet or verifying data in a computer program. * Communication, time management, and organizational skills.
